Responsibilities:
Human Resources Assistance (Admin Responsibilities)
· Assist with staff movements: onboarding and exit clearance.
· Plan and organize company events, employee communications, and welfare/engagement activities to boost staff morale, team spirit, and productivity.
Administrative Support
· Assist the China counterpart with all admin-related matters.
· Handle incoming calls and general customer inquiries, providing office hospitality services to guests.
· Distribute and store correspondence, such as letters, emails, and packages.
· Maintain office expenses.
· Liaise with building management for matters related to office equipment.
· Handle office administration and secretarial duties, including stationery supplies, courier arrangements, office/group insurance, vendor contracts, and errands.
· Collaborate with group companies in China to organize business trips, visits, and events, including hotel reservations, flight bookings, visa applications, airport pick-ups, and agenda arrangements.
Meetings & Reception
· Handle VIP reception.
· Coordinate, arrange, and facilitate meetings, including preparing equipment for meetings.
Vendor Management
· Liaise with outsourced IT vendors to address IT-related issues.
· Management of other company vendors.
Any other duties as the company may require from time to time
Requirements:
· Tertiary education in any business-related discipline
· Bilingual in English & Mandarin is a must to liaise with Chinese speaking associates
· Strong organization skills with a problem-solving attitude
· Good interpersonal & Communication Skills
· Team player, fast learner, positive attitude, detail oriented
