Job description:

• Provide administrative support (data entry, filing and documentation) for workshop day-to-day operations

We are looking for an Executive Secretary to provide high-level administrative support, manage schedules, coordinate meetings, and ensure compliance with legal requirements and corporate governance best practices.

Responsibilities:

Administrative Support:

- Provide high-level administrative support to our Senior Management, including managing schedules, coordinating meetings, and handling correspondence.

- Screen, organise and prioritise incoming information before disseminating them to the Senior Management.

- Support the Senior Management in making well-informed decisions by providing relevant information and options.

- Anticipate work essentials, troubleshoot issues, and suggest solutions proactively.

Board and Committee Management:

- Organize and prepare agendas, materials and logistics for board and committee meetings, ensuring timely distribution of relevant documents, and recording accurate minutes during meetings.

- Support the onboarding process for new Directors and contribute to the training and development of directors.

Compliance Oversight:

- Monitor and ensure compliance with legal and regulatory requirements, as well as internal policies and procedures. Keep abreast of corporate governance best practices.

Annual Report:

- Assist in the preparation of the company's annual report, ensuring compliance with regulatory requirements and accuracy of information.

- Coordinate with internal and external stakeholders to gather necessary information, oversee relevant sections of the report, and facilitate the audit process.

- Maintain proper documentation, stay informed on regulatory changes, and provide support to senior management and the board on matters related to annual reporting and corporate governance.

Document Management:

- Maintain and organize official corporate records, contracts, and other important documents. Facilitate document retrieval and information dissemination as needed.

- Review, proofread and format materials to uphold a professional standard.

- Manage confidential information with the highest level of discretion, maintaining professionalism consistently.

Communication Liaison:

- Act as a communication liaison between the Senior Management and various stakeholders, including board members, senior management, and external partners.

- Coordinate with partners and stakeholders in fundraising or philanthropic endeavors.

- Supporting communication efforts and engagement with potential donors

Event Coordination:

- Coordinate events, conferences and business trips, ensuring seamless execution.

- Manage logistical aspects and participants coordination

Other ad-hoc duties as assigned by the Senior Management.

Requirements:

- Bachelor’s degree in Business Administration or a related field.

- Minimum of 5 years of experience in a similar role, preferably within a corporate office environment.

- Excellent verbal and written communication skills with the ability to interact professionally and confidentially with high-level executives and external stakeholders.

- Strong organizational and multitasking abilities to manage complex schedules, meetings, and documentation efficiently.

- Familiarity with corporate law, governance principles, and regulatory requirements.

- Maintain a high level of discretion and integrity in handling confidential information and sensitive matters.

- Proficient in Microsoft Office (Powerpoint, Word, Excel, etc) and document management systems.

Job Responsibility:

• Manage obligations to suppliers, customers and third-party vendors.
• Reconcile financial statements

Job Requirement:

• Bachelor’s degree in Business, Accounting, Construction Management, or related field.

PRIMARY OBJECTIVE

• Perform the daily BAU operations, i.e. loan disbursements, repayments, fee collections, prepayments, rollovers and redemptions, monitoring and sweeping of funds from special-purpose accounts, e.g. DSRA, Operating accounts for loan repayments and monitoring of scheduled repayments for bilateral and syndication deals.
• Perform GL reconciliation & ensure outages are resolved within stipulated turnaround time.
• Ensure accuracy, efficiency and meets the agreed turnaround time with the Business Units while avoiding operational risks and losses.
• Support the department’s effort to improve productivity, efficiency and lower costs via continuous process improvements.
• Maintain good business relationships/partnerships with key stakeholders, aligning actions to customer needs.

KEY RESPONSIBILITIES

Customer/Market – Business Transformation

• Perform loan disbursements, repayments, rollovers, redemption and fee collection with accuracy and within the stipulated turnaround time.
• Respond to Business Units’ requests and enquiries within a stipulated timeline.
• Collaborate with the Team Lead to engage the Business Units on a regular basis to resolve BAU issues and improve cooperation between the teams.
• Actively participate as a member of a team to move the team towards completion of goals, i.e. develop a service-oriented culture within the team.

Process Digitalization or Automation/STP

• Participate in process digitalization or automation initiatives.

Productivity Improvement

• Ensure all SLA/TAT are being met.
• Ensure work is completed with speed and accuracy.
• Contribute process improvements ideas to improve TAT, efficiency and reduction of internal errors in work processes.

Process Efficiency/Process Improvements

• Participate in process improvement discussions to improve the turnaround time for BAU processes. 
• Identify operational risks and implement measures/controls to plug the risk gaps so that processes are in line with all internal & external policies/guidelines and requirements of the regulators.

Operational Risk & Compliance

• Work together with Team Lead to ensure that audit rating is “Satisfactory” or better.
• Work together with Team Lead to ensure that CRA rating is at least “On Target” or better.
• Work together with Team Lead to ensure no/minimal operational lapses/financial losses.

Individual Contribution/Competency

• Participate in BCP Coordinator/Risk Coordinator or Data Steward roles.

As an Executive, Finance, you will be responsible for managing and processing vendor invoices, payments, and related financial documentation. This role requires meticulous attention to detail, the ability to work efficiently within deadlines, and a strong understanding of accounting principles. You will play a key role in ensuring timely and accurate payment processing while supporting system implementation and audit processes.

Responsibilities:

• Prepare and manage invoices and vendor payments, aged payables reports, balance sheet schedules (e.g., prepayments, accruals, work in progress, recoverables), SOA reconciliation and accruals, fixed asset schedules, depreciation, and assigning fixed asset ID tags.
• Maintain annual fixed asset and petty cash counts
• Verify invoices against purchase orders and confirm the receipt of goods or services
• Assemble, review, and process invoices for payment; ensure timely vendor payments
• Assist in system implementation and audits
• Contribute to optimizing current processes to shorten month-end closing timelines
• Provide additional support as needed to ensure the organization meets its payment obligations

Requirements:

• A diploma or degree in Accountancy
