Job Purpose

The IT Executive is responsible for providing day-to-day IT support, managing and maintaining IT infrastructure, including audio-visual (AV) systems, computers, telephone systems, network devices, and cloud-based services. The role also involves ensuring the security and efficiency of IT operations, managing vendors and procurement, handling system upgrades, and ensuring compliance with organizational policies. Principal Accountabilities

End-User IT Support & Maintenance

1. Provide technical support to end-users for hardware, software, and network-related issues.
2. Troubleshoot and resolve issues related to desktops, laptops, printers, and other peripherals.
3. Set up and maintain IT equipment for both in-office and remote users.
4. Provide AV (audio-visual) support for meetings, webinars, and events (e.g., projectors, sound systems, video conferencing tools).

Network & Firewall Management

3. Conduct regular reviews of firewall and network logs to detect and mitigate security threats.
4. Ensure network performance is optimized and secure for all users.

IT Systems Administration

1. Manage the organisation’s IT infrastructure, including servers, network devices, workstations, and cloud services.
2. Administer Active Directory, Google Workspace, and Microsoft 365 platforms for user account management.
3. Conduct regular system updates, patches, and security upgrades to ensure stability and security.
4. Implement monitoring tools (e.g., Datto & Kesaya 365) to ensure system performance and uptime.
5. Document IT configurations, network diagrams, and system procedures to ensure knowledge continuity.

IT Project Management

1. Lead and support IT-related projects, such as system upgrades, infrastructure enhancements, and software implementations.
2. Coordinate with internal stakeholders to gather requirements and ensure project goals are met.
3. Develop project plans, timelines, and budgets.
4. Provide regular updates to management on project status and deliverables.

IT Inventory Management

1. Maintain and update the IT asset inventory, ensuring all software and hardware components are tracked.
2. Conduct regular audits to ensure IT assets are accounted for and up to date.
3. Manage IT equipment lifecycle, including procurement, deployment, and decommissioning.

IT Security & Compliance

1. Implement security controls to protect the organization’s data and IT systems.
2. Conduct regular security audits and vulnerability assessments.
3. Ensure compliance with data protection regulations (e.g., PDPA, GDPR).
4. Manage security tools such as firewalls, endpoint protection, intrusion detection systems, and VPNs.
5. Implement encryption protocols and multi-factor authentication (MFA) to secure sensitive systems.
6. Interpret reports to identify trends and areas for improvement in IT operations.

Qualifications and Experience

• Manage and execute webinars & in-person marketing events, seminars and public relations activities from inception to completion
• Monitoring lead generation and conversion across all marketing initiatives to ensure campaign optimisation and market growth.
• Liaise with the local sales team to create effective pitching, track the sales funnel and receive feedback to ensure that the ongoing marketing activities are bringing in sales opportunities.
• Administrative support: Including (but not limited to) purchasing of collaterals, payment processing, market analysis, event logistics and social media management.
• Any other duties as required by line manager or department head

What skills and experience are required?

• 3+ years of marketing and/or industry experience
• Bachelor’s degree in marketing, communications or a related field, and/or equivalent job experience in marketing with a preference for experience in the education space.
• Strong English and Mandarin reading, writing and speaking skills with a good sense for visual branding and design.
• Experience in industry-standard design and video editing software, such as Adobe Creative Suite (Photoshop, Illustrator), Canva or iMovie.
• Knowledge of project management, marketing automation platforms and social media marketing tools a plus
• Knowledge of the US/UK university admission process will be an advantage
• Ability to work flexible hours when necessary

Roles & Responsibilities

• Review and process daily sales transactions, ensuring accuracy and adherence to contractual terms.

• Prepare and issue payments to vendors in a timely manner.
• Support the accounts payable (AP) and accounts receivable (AR) functions.
• Reconcile accounts and resolve any discrepancies in financial records.
• Assist with the monthly account closing process and prepare month-end journal entries.
• Maintain precise financial records and documentation, including AP, AR, journal entries, and general ledger (GL).
• Provide general administrative assistance to the finance department as needed.
• Conduct regular bank reconciliations to ensure all financial transactions are accurately recorded.
• Review and process employee expense reports, ensuring compliance with company policies.
• Provide required documentation and assistance during both internal and external audits.
• Handle GST filings and submission.
• Perform any other ad-hoc tasks as assigned by management.

Requirements

• Minimum of 3-year relevant working experience in accounting or finance (Retail industry)
• Familiar with quick book
• Capable of work independently and managing task with minimal supervision.
• Comfortable working in a fast-paced environment.
• Strong initiative with the ability to meet tight deadlines
• Excellent technical, organizational and problem-solving skills. A team player with a strong analytical capability.
