Position Overview:

We are seeking a detail-oriented and proactive Branding Operations Executive to join our Brand and Sustainability Team. The primary responsibility of this role is to oversee various operational aspects related to branding, sustainability initiatives, and logistics management. In addition to administrative duties, the ideal candidate will play a key role in sourcing quotations from vendors and agencies, conducting research on the latest trends in merchandise, exhibitions, branding, and sustainability initiatives worldwide.

Key Responsibilities:

Payment Administration:

• Process invoices, payments, and reimbursements related to branding and sustainability activities, ensuring accuracy and compliance with company policies and procedures.
• Maintain records of financial transactions and reconcile expenses to budget allocations.
• Coordinate with finance and accounting teams to resolve any payment-related issues or discrepancies.

Administrative Support:

• Provide administrative support to the Brand and Sustainability Team, including scheduling meetings, preparing agendas, and drafting correspondence.
• Maintain documentation and records related to branding and sustainability projects, ensuring proper organization and accessibility.
• Assist in the preparation of presentations, reports, and other materials for internal and external stakeholders.

Vendor and Agency Coordination:

• Assist in obtaining quotations from vendors and agencies for branding materials, promotional items, and event management services.
• Collaborate with vendors and agencies to ensure timely delivery of services and adherence to budgetary constraints.
• Conduct research to identify new vendors, agencies, and partners that align with the company's branding and sustainability goals.

Trend Research:

• Stay updated on the latest trends in industry merchandise, exhibitions, branding, and sustainability initiatives worldwide.
• Analyze market trends and competitor activities to identify opportunities for innovation and differentiation.
• Provide insights and recommendations to enhance the company's branding and sustainability strategies.

• Diploma or equivalent certification in Marketing, Business Administration, Logistics, or related field.
• 3-5 years of experience in operations, administration, or logistics management, preferably in a corporate environment.
• Strong organizational skills with the ability to prioritize tasks and manage multiple projects simultaneously.
• Excellent attention to detail and accuracy in financial record-keeping and administrative tasks.
• Proficiency in Microsoft Office suite (Word, Excel, PowerPoint) and experience with financial software or systems.
• Effective communication skills with the ability to collaborate with cross-functional teams and external partners.
• Interest in branding principles and sustainability practices.

[What you will be working on]

• Develop and implement initiatives to advance SLA’s sustainability strategies and ambition

• Research and recommend best practices/trends to improve sustainability plan

• Engage internal and external stakeholders to raise awareness on sustainability and explore potential collaboration opportunities, e.g. retrofitting of buildings for resource efficiency, EV charging

• Assist to monitor and prepare reports on sustainability-related performance indicators and disclosures

• Coordinate and prepare materials for sustainability-related meetings

[What we are looking for]

• Background in Environmental Sustainability / Science, or relevant disciplines with 2-4 years of experience in the sustainability domain.

• Experience in implementing environmental sustainability-related initiatives within the real estate sector is preferred.

• Passionate in sustainability topics, e.g. energy, retrofitting, carbon emissions, etc

• Team player who is meticulous, analytical, and have good project management and communication skills (written and verbal)

• Proficient in Microsoft office programmes especially in Excel and Powerpoint

[What you will be working on]

• Support the migration of our system to “Business Grants Portal”, which may include building of forms, user acceptance testing, data migration

• Conduct sample checks on claims processed by outsourced vendor

• Support administration of Global Ready Talent Programme by onboarding companies and evaluating internship placements, and consolidating monthly inputs from institutes of higher learning

In this role, you’re expected to:

The Event Marketing Project Manager provides full leadership and supervisory responsibility for the assigned project. Provides operational/service leadership and direction to the project team(s). Applies in-depth disciplinary knowledge through provision of value-added perspectives or advisory services. May contribute to the development of new techniques, models and plans within area of expertise. Excellent communication and diplomacy skills are required.

Generally has responsibility for volume, quality, timeliness of end results and shared responsibility for planning and budgets. Work affects an entire area, which eventually affects the overall performance and effectiveness of the sub-function/job family. Full supervisory responsibility of the project team, ensuring motivation and development of team through professional leadership as well as direction of daily tasks and responsibilities.

Responsibilities:

• Manages day-to-day project logistics and event execution with internal partners, creating event marketing efficiencies for Citi across all business units.
• Collaborates with business unit managers on event strategies and special projects, solution oriented.
• Generates ideas to expand client perceptions to help drive results and capture cost savings.
• Manages all logistical details pertaining to event attendees and presenters.
• Ensures program branding (marketing materials, signage, and displays) at all events meet Citi requirements and marketing/branding goals.
• Develops and implements methods to evaluate overall event value to the business.
• Maintains accurate budgets for meetings that will generate ROI and manage metrics reporting details.
• Supports all CEMP (Citi Expense Management Policy) initiatives, event risk evaluation’s; reconcile program invoices and event final cost reporting.
• Partners with colleagues and vendors on details regarding venue logistics and execution, transportation details, audio visual equipment, etc.
• Reviews and negotiates contracts to receive the best possible rates.
• Partners with Citi technology and audio-visual services to ensure appropriate equipment is included for all programs. Work directly with dedicated technicians; secure video conferencing, video recording and all pertinent meeting related equipment. Partner with outside vendors for onsite audiovisual and technology support at non-Citi venues. Excellent negotiating skills a must.
• Initiates development of web registration sites with web developer; reviews content to ensure accuracy; responds to attendee inquiries noted on registration forms; provide reports to client on a consistent basis indicating changes or updates.
• Appropriately assess risk when business decisions are made, demonstrating particular consideration for the firm's reputation and safeguarding Citigroup, its clients and assets, by driving compliance with applicable laws, rules and regulations, adhering to Policy, applying sound ethical judgment regarding personal behavior, conduct and business practices, and escalating, managing and reporting control issues with transparency, as well as effectively supervise the activity of others and create accountability with those who fail to maintain these standards.

As a successful candidate, you’d ideally have the following skills and exposure:
