POSITION SUMMARY

Reporting to the Head of HR & Admin, you will be responsible for general office administration such as facilities management, managing office space, office/pantry supply, travel/hotel arrangements, office expense management, secretarial duties to the CEO and on-boarding and off-boarding of employees.

DUTIES/RESPONSIBILITIES

SECRETARIAL SUPPORT TO CEO

• Manage CEO schedule by scheduling and coordinating appointments, meetings and events including travel arrangements (include travel insurance), candidate interviews & conference calls.

Responsibilities

• Support HR and Finance
• Liaise with interview candidates, schedule assessments & manage shortlisted candidates
• Contribute ideas to improve processes in the company and implement new processes
• Maintain Information Security (ISO) tasks, documents, and timelines
• Calendar scheduling, responding to email inquiries, and managing correspondence
• Support events and business development managers by assisting with business administration tasks such as curating reports or preparing presentation slides
• Coordinate with artists, management, labels, promoters and business partners
• Support the editorial and social media teams by assisting in digital platform boosting
• Track and drive completion of key deliverables
• Manage tasks independently
• Plan and organise quarterly team activities
• Be a brand evangelist for Bandwagon
• Be excited about coming to work and share that enthusiasm with the team
• Other ad-hoc tasks as instructed by the managers and director

Qualifications

• Preferably 1-2 years of Administrative experience or past experience with administrative projects and roles
• Excellent communication and comprehension skills (spoken and written)
• Self-motivated and able to work independently
• Skilled in Notion, Google Suite, Apple’s Keynote and Pages
• Having knowledge of using HRMS and accounting software such as QuickHR and QuickBooks would be a plus
• Experience and interest with Information Security would be a plus
• Strong problem-solving and time management skills
• Good with numbers
• A good team player who shares the company’s core values and commits to meeting deadlines under time constraints
• Quick to take action and has a high attention to detail; maintaining accuracy in all aspects is critical for success in this role

Job Description:

Provide administrative and logistical support for various training programmes, seminars, conferences, study visits, and ad hoc events organized by CSC.

Handle the full spectrum of programme administration and logistic duties, including creating course and class in TREX system, preparing publicity for programmes, managing participant registration and confirmation, coordinating travel arrangements, marking attendance, and compiling course evaluations.

Collaborate with Institute Development Officers (IDOs) on programme-related matters to ensure timely support according to Institute's requirements.

Procure items related to programmes/events and manage timely invoicing/billing to participants, payments to trainers and suppliers, and monitor course take-ups, revenue, and expenses.

Maintain accurate records, ensure proper accrual of expenditures, comply with college service standards and operations guidelines, and meet college and team KPIs.

Provide onsite support and assistance to associate trainers and resource persons for the smooth delivery of programmes.
