Job Responsibilities

• Manage and process expatriates monthly claims
• Manage and process expatriates new and renewal tenancy agreement
• Take care of office supplies and equipment
• Support office building facility maintenance including security system related matters
• Manage and process office insurance and other administrative related agreements
• Support office & mobile lines and related equipment maintenance
• Perform other ad-hoc duties as required

Job Requirements

• Minimum 2-3 years of experience in general office matters
• Proficient in Microsoft Excel and Word
• Well organized and work well as a team
• Japanese language skill is required as some of the work documents are written in Japanese

Tay Dental Surgery is located within Bukit Timah Plaza. We have been at this location for 26 years. We have 7 dentists, 3 of whom are specialists.

The job description of the administrative assistant are as follows:

• Provides administrative support to ensure efficient office operations.
• Maintains physical and digital filing systems.
• Answers phone calls and directs callers to appropriate personnel, schedules appointments, signs for incoming packages, and assists clients and other visitors.
• Responds to emails and other digital queries and correspondence.
• Drafts and edits letters, reports, and other documents.
• Inputs and updates information in databases and spreadsheets.
• Uses word processing and presentation software to create and edit documents.
• Operates and maintains clinic and office equipment, including digital scanner, imaging machines, compressors, autoclaves, dental units, airconditioners, printers, copiers, and fax machines.
• Works with maintenance staff and outside vendors to ensure clinic and office equipment is in good working order and office supplies are always on hand.
• Researches as requested and compiles and summarizes information for reports or presentations.
• Works closely with other administrative staff and supports other colleagues as needed.
• Works with sensitive information with discretion to maintain confidentiality and security and ensure compliance with privacy policies and regulations.
• Ensures that deadlines are met and adapts to changing priorities.
• Presents a positive and professional image for the organization.
