Responsibilities and Duties:

Departmental Activities

• Coordinate department and hospital meetings for the department and head of department;
• Facilitate staff on-boarding activities;
• Manage Operations Department Microsoft SharePoint infrastructure;
• Digitization of department paper records;
• Provide secretariat support to Workplace Safety and Health (WSH) Council;
• Provide secretariat support to the Hospital Food Service Committee (FSC);

Quality Improvement

• Assist in tracking department KPIs;
• Implement department improvement projects;

Inventory

• Manage department inventory control and maintenance;
• Assist with assets management;

Staff Activities

• Handling of Operations Department for social and recreational activities
• Manage Department Welfare Activities;

Admin

• Organize workshop/events for internal and external speakers;
• Provide general and admin support to Operations department;

Job Requirements:

• “A” level passes or diploma in administration or have relevant work experience in related field.
• 5 years working with administrative experience (preferably in healthcare setting).

The Job

• Assist with leasing sales admin process and coordinating with inter-department for day-to-day work
• Handling of incoming calls and providing customer service
• Administer and handle the latest Enterprise Resources Planner (ERP) and Customer Relationship Management (CRM) systems
• Responsible for accuracy data entry input; filing for all data record documentation in the ERP & CRM systems
• Prepare printed materials and compilation of reports
• Liaising with vendors, suppliers & partners for administrative & payment arrangements
• Good problem solving and analytical skills
• Excellent understanding of processes and able to quickly grasp system flows
• Follow up closely with the team's work progress

Requirements

• Min qualification diploma with 2 years’ experience in admin work
• Similar experience in the automotive industry is an advantage
• Strong computer skill, including Microsoft Word, Excel and Power Point
• Strong in English, able to write, type and speak
• Able to converse in Mandarin with customer
• Fast in respond and able to handle multiple task efficiently in a fast-paced environment

Tay Dental Surgery is located within Bukit Timah Plaza. We have been at this location for 26 years. We have 7 dentists, 3 of whom are specialists.

The job description of the administrative assistant are as follows:

• Provides administrative support to ensure efficient office operations.
• Maintains physical and digital filing systems.
• Answers phone calls and directs callers to appropriate personnel, schedules appointments, signs for incoming packages, and assists clients and other visitors.
• Responds to emails and other digital queries and correspondence.
• Drafts and edits letters, reports, and other documents.
• Inputs and updates information in databases and spreadsheets.
• Uses word processing and presentation software to create and edit documents.
• Operates and maintains clinic and office equipment, including digital scanner, imaging machines, compressors, autoclaves, dental units, airconditioners, printers, copiers, and fax machines.
• Works with maintenance staff and outside vendors to ensure clinic and office equipment is in good working order and office supplies are always on hand.
• Researches as requested and compiles and summarizes information for reports or presentations.
• Works closely with other administrative staff and supports other colleagues as needed.
• Works with sensitive information with discretion to maintain confidentiality and security and ensure compliance with privacy policies and regulations.
• Ensures that deadlines are met and adapts to changing priorities.
• Presents a positive and professional image for the organization.
