Roles & Responsibilities:

HR

• Recruitment which includes placing job advertisements, interviews arrangement, references and background check.
• Preparation of appointment/confirmation letter, insurance claims for Hospital & Surgical and Work Injury Compensation.
• Promoting the company’s reputation and attractiveness as a good employment opportunity.
• Keeping up to date on current employment legislation and regulations and enforcing them within the company.
• Organize and maintain personnel records, enter new data, and update employee data in internal HR databases.
• Prepare various HR documents, including new hire guides, employment contracts, compensation lists, etc.
• Ensure the smooth execution of employee on-boarding and off-boarding processes.
• Ensure timely and accurate submissions for all government related claims, e.g. Childcare Leave, Maternity/Paternity Leave, makeup claims.
• Any other ad hoc duties as assigned from time to time.

Administrative

• Attend & greet the guest, serve beverages or meals when necessary.
• Keep stock of office supplies and place order when necessary.
• Printing and order business cards when necessary.
• Training and course arrangement
• Handle and oversee all travel arrangements (air travel, accommodation, etc), and operations, manage relationships with travel agencies, hotels, and travel service providers.
• In charge of General Administrative duties and office maintenance matters.

Requirements:

• Diploma or Degree in Human Resource with 3 – 5 years of relevant experience in HR
• Display good understanding and knowledge of Singapore Human Resource practices, employment laws and regulations.
• Proficient MS Office Applications (e.g. MS Excel/Word/PowerPoint)
• Good communication, organizational skills and with multi-tasking abilities
• Good command of spoken and written English & Chinese. Proficiency in Japanese language will be an advantage.
• Teamwork (ability and willingness to work with all levels of organization)
• Simple accounting knowledge will be an advantage.
• Able to handle confidential information with integrity.

Job Responsibilities:

a. Receive, assess, register and assign files in a timely manner;

b. Maintain proper records of all incoming and outgoing files - ensure documents are managed according to defined standards, IM guidelines and Circulars;

c. Study and understand context of cases to identify and flag cases that require urgent attention to ensure that these matters are processed expeditiously;

d. Manage files that require exception handling and urgent consultations;

e. Be the point of contact and manage matters concerning representations (for files received at the deployed location);

f. Process outbound IPs and Representation requests;

g. Coordinate and liaise with investigators, Crime Clerks and the Registry team

h. Coordinate with investigators to upload relevant media contents to relevant shared storage systems and facilitate their availability to DPPs;

i. Assist the DPPs in legal administrative duties, where appropriate;

j. Attend to email / walk-in enquiries and answering calls at the deployed location;

k. Identify and escalate incoming requests that may potentially be sensitive or high profile in accordance with prescribed guidelines, SOPs, and circulars.

Job Requirements:

Have a minimum of 2 to 4 years’ working experience in managing stakeholders; or in a client-facing role; or in case management work; or dealing with Investigation Papers
