Job Overview:
The Food & Beverage Operations Administrative Executive supports the daily operations of the food and beverage department by handling restaurant operation, administrative tasks, and ensuring smooth communication and coordination between different departments. This role involves assisting with operational procedures, managing schedules, and maintaining records to help the team operate efficiently.
Key Responsibilities:
Administrative Support:
•Assist in the preparation and execution of operational plans, reports, and schedules.
•Maintain and update operational documentation, including menus, training materials, and standard operating procedures (SOPs).
•Coordinate and handle correspondence related to operations (emails, phone calls, etc.).
Inventory & Stock Management:
•Assist in tracking inventory levels of food and beverage items, supplies, and equipment.
•Coordinate with suppliers for stock orders and ensure timely delivery of goods.
•Ensure proper storage, handling, and rotation of products to maintain quality and minimize waste.
Scheduling & Coordination:
•Support the scheduling of staff shifts, training sessions, and meetings.
•Coordinate and assist between kitchen, front-of-house, and management to ensure smooth operations.
•Help prepare and distribute staff schedules and ensure that any changes are communicated promptly.
Ad-hoc Duties:
•Assist in Restaurant Operations when it is necessary
Requirements
- 1-2 years of administrative and office support experience
- Certificate or Diploma in Business Administration or relevant field
- Proficient in Microsoft Office and Google Suite
- Excellent project management, communication, and interpersonal skills
- Detail-oriented, team-oriented, and able to work independently
- Strong desire to work in a fast-paced, collaborative environment
