Key Responsibilities
Administrative Support:
- Reception for visitors and phone operator and contact phone book maintenance.
- Issuance and maintenance of Access Card which includes photo taking for new hires
- Mail & package receiving & posting.
- Courier arrangement and receiving documents/parcels
- Maintain office cleanliness and safety
- Office supplies and stationery purchase
- Create Purchase Requests for office purchase and Goods Receipt for PO in SAP
- Pantry and Cleaning Services management
- Manage office vendors (carpet cleaning, pest control, stationery, water dispenser, coffee machine etc.)
- Coordinate meetings and training (room reservation, open meeting room partitions, materials and supplies, food requirements etc.)
- Support company-wide activities.
- Business travel arrangement, including inbound & outbound (Ticket, VISA, Hotel Booking, Transportation Arrangement), including external meetings for Country President
- Work with local hotels to provide lowest cost and highest value for Entegris travelers.
- Screen calls and respond to routine inquiries.
- Business card purchase
- Assist in sourcing for gifts and greeting cards as required.
- Provide all administrative support for all visiting Entegris personnel and office staff based in Singapore.
- Manage travel expense claims for Country President
- Ambassador for company’s employees related activities.
- Shuttle bus arrangement
- Work with IT to ensure site monitor is on and updated with latest slides from Global
- Support office renovation, if any
- Any other duties and projects that may be assigned from time to time
Requisite Criteria & Skills
- Possesses Diploma / Certificate in Business Administration
- 5-10 years job-related experience in a fast-paced multinational environment preferably as an administrative or customer service professional.
- Effective communications; strong interpersonal abilities; listening and responsive to customer expectations; time management skills; ability to work in a team environment with little supervision, high degree of initiative and proactive skillsissue resolution. Require excellent attention to details.
- Ability to coordinate cross-geographical process and influence key stakeholders in decision-making.
- Has maturity, is independent and possesses accountability as well as ownership.
- Proficient skills in a Microsoft Office, SAP/Oracle ERP and Salesforce software.
