We are seeking a highly organized and proactive individual to provide comprehensive administrative support across various functions, including office operations, human resources, finance, and psychological services. The role involves managing reception duties, maintaining office supplies and records, assisting with staff training and recruitment, processing financial claims, and supporting meetings and events. The ideal candidate will also be responsible for maintaining client and staff data and providing logistical support for psychological service activities. Strong multitasking skills and attention to detail are essential for success in this dynamic position.
Roles & Responsibilities
- Handle reception duties, address queries, and direct them to the appropriate department.
- Perform clerical tasks, including managing incoming and outgoing mail, filing, photocopying, data entry, and arranging courier services.
- Handle psychological service inquiries and referrals, maintain enquiry lists, and collaborate with the Psychologist-on-duty.
- Prepare quarterly statistics and client profile data and present findings for reports and meetings.
- Collaborate with the HOD and Psychologists on psychological service outcome measures.
- Provide administrative and logistical support for training and workshops related to Psychological Services.
- Update and maintain an efficient filing system for administrative records.
- Provide administrative support for psychological services, including managing inquiries, preparing statistics, and assisting with training and workshops.
- Support meetings by preparing materials, equipment, refreshments, and taking minutes when needed.
- Oversee inventory of office supplies and maintain an organized office environment.
- Run official errands and manage office facility repairs and maintenance.
- Update and maintain client and staff records, ensuring data accuracy and compliance.
- Assist with recruitment, staff training, and financial tasks, including fee collection, processing claims, and maintaining petty cash records.
- Monitor fund balances, process reimbursements, and submit financial reports as required.
- Assist in banking and procurement matters and support the management of departmental budgets.
- Provide feedback on new work processes and assist in implementing updated systems.
Candidate Profile:
- At least GCE A Level with 8+ years of experience in office administration, human resources, or financial operations
- Proficient in English (oral and written), with strong communication and interpersonal skills
- Demonstrates strong organizational, time management, and problem-solving abilities
- Committed to continuous learning and adapting to feedback to improve performance
- Resourceful in utilizing tools and resources effectively to achieve work targets efficiently
- Proficient in Microsoft Office (Word, PowerPoint, Excel), with knowledge of Access preferred
- High integrity, with a professional approach to work and responsibility in financial accounting tasks (if applicable)
