We are seeking a motivated and detail-oriented Administrative Assistant to join our Human Resources team in the manufacturing sector. The successful candidate will provide comprehensive administrative and HR support to ensure smooth daily operations.
Key Responsibilities:
• Facilitate onboarding and orientation for new hires.
• Issue and manage personal protective equipment (PPE) for employees and visitors.
• Oversee locker allocation and maintenance in locker rooms.
• Manage access cards and the access control system.
• Coordinate interviews with candidates and stakeholders.
• Generate and monitor attendance reports and verify timesheets for temporary employees.
• Arrange courier services, mailing, and dispatch of documents.
• Administer employee leave applications and maintain records.
• Manage daily staff meal orders with vendors and coordinate buffet catering for events.
• Monitor and replenish pantry supplies and vending machine stocks.
• Source and purchase stationery and other office items.
• Submit claims and benefits for employees through the company system.
• Manage overseas visitors' travel arrangements, including flights, accommodation, and local transportation.
• Actively participate as a member of the welfare and safety committees.
• Update and manage notice board announcements.
• Support welfare activities and initiatives for employees.
• Provide HR and administrative assistance to employees at all levels.
• Undertake other assignments as directed by management.
Job Requirements:
• Minimum 2 years of experience in an administrative or office coordination role.
• Strong organizational and time management skills.
• Proficient in Microsoft Office (Word, Excel, Outlook).
• Able to work in a fast-paced and dynamic environment.
• Independent, meticulous, and a team player with the ability to multi-task.
• Excellent communication skills and the ability to liaise with various stakeholders.
• Positive attitude and a willingness to learn.
• Experience in the manufacturing sector is an advantage.
