As an auction administrator and client service associate, the candidate will be working with internal and external stakeholders to ensure the successful operation of the auction. The candidate must embody the business' core values and uphold our Client Service Standards. The candidate handles a variety of queries in person, on the telephone and via emails as they relate to all transactional aspects of bidding, buying, selling and post-sale activities. This position requires excellent communication and strong problem-solving skills as well as a good teamwork.
Responsibilities include:
· Handle internal and external clients’ enquiries across all communication channel (in-person, phone calls and emails) in a timely, accurate and professional manner.
· Provide excellent client services to clients throughout the whole client journey, i.e. from pre-sale to post-sale.
· Create consignment contracts, catalogue the consignment artworks, and update the listings accurately.
· Assist the specialist in research, write-up, and translation for the auction lots.
· Greet and assist clients at Front of House and escalate issues to relevant departments as appropriate.
· Handle import/export shipments.
· Prepare materials for press releases, advertisements, etc and liaise with the marketing department on external communication.
· Plan and execute preview exhibitions and sales.
· Train and coordinate temporary staff during sales.
· Manage all bids received through all channels.
· Manage post-event process, including payment and feedback.
Requirements:
· Min. 1-2 years of experience in sales administration job
· Diploma or graduate in any Business or administration related courses
· Bilingual in both English & another language to liaise with associates and clients
· PC Literate: MS Office Applications, Adobe Photoshop
· Customer orientated with good interpersonal and communication skills
· Resourceful and able to work independently
· Highly motivated and able to undertake pressure
· Meticulous and able to work under tight deadlines
· Knowledge of inventory control is an advantage
· Excellent written as well as verbal communication skills
· Solid negotiation skills
· Experience in the auction house or gallery is advantageous
