What you’ll be doing:

• Process quotes and orders, with accuracy and timeliness.
• Monitor order statuses to ensure timely closure and provide regular updates to sales
• Collaborate with Sales, Credit Control, Revenue Operations and Billing to streamline processes and resolve issues
• Conduct quality control checks to ensure a smooth and efficient transition of orders from Sales to Billing
• Track contract timelines to ensure timely renewals or follow-ups
• Continuously assess contract workflows and identify opportunities for process optimization
• Execute standard operating procedures (SOPs) for sales order and contract management to drive compliance and consistency
• Act as the key point of contact for routine internal inquiries
• Maintain and update account records using Salesforce and other system requirements.
• Assist in resolving concerns in a timely manner and escalate issues only when necessary
• Maintain accurate sales data from point of sales to invoice received
• Assist the Head of Sales with ad-hoc administrative tasks as required
• Generate and distribute sales activity reports, tracking data from the point of sale to invoice completion.
• Identify trends or inefficiencies in operations and propose process improvements
• Track and report on contract-related KPIs, such as average contract turnaround time, accuracy rates, and revenue impact from contract changes

What you’ll bring to us:

• 2+ years in sales support, administrative roles preferably in the technology or finance industry
• Experience or knowledge of Billing processes
• Proficiency in CRM systems, Microsoft Office Suite (Word, Excel, PowerPoint) and ERP finance systems (knowledge in Salesforce and NetSuite is a plus)
• Exceptional organizational Skills: Ability to multitask, prioritize, and meet deadlines in a fast-paced environment
• Strong verbal and written communication skills, with a customer-focused mindset

Brief Job Description

The DBA shall minimally perform the following administration activities for database server and automate them to the extent possible:

• Manage and monitor the database storage, database space utilisation, table extents and growth, and alert or report to the Customer on potential performance or capacity issues, or bottlenecks with recommendations;

• Setup and manage the users accounts, access rights, privileges, roles and profiles;

• Plan and perform database backup and recovery;

• Review all daily logs, database alerts, database export logs and scheduled job logs;

• Plan and schedule regular database housekeeping and maintenance activities necessary to keep the database in a healthy state and at optimal performance;

• Manage scripts and database object deployment;

• Review, propose and carry out database reorganisation, upgrades or necessary to meet target system throughput and performance;

• Perform fault and performance monitoring;

• Respond to monitoring alerts and perform first-level troubleshooting when required;

• Perform database patch management;

• Work with Customer and Customer-appointed Supplier in identifying database related issues;

• Document and maintain database server administration guides and SOPs; and

• Perform annual database disaster recovery test on selected databases as determined by the Customer.

• Conduct a backup and restore exercise to validate that the database which are backed up more than six (6) months ago can be restored. This restoration exercise shall be conducted once every year on samples and at a time determined by the Customer.

The Database Administrator shall minimally possess the following requirement:

• At least three (5) years of experience in MS SQL administration; and

• Microsoft Certified Solution Associate: SQL Database Administration

• At least three (3) years of experience in Oracle Database administration; and

• At least 3 years exposure to Azure and AWS RDS databases

• Oracle Database Administrator Certified Professional.

Trust Administrator Officer

- Assist in setting up trust structures and the client on-boarding process.

- Act as point of contact for clients, liaise with clients on the administration of trust accounts.

- Day-to day duties includes attend to client queries, coordinate trust account activities, carry out trustee function, and properly document the account files.

- Carry out day-to-day unit trust administration duties for unit trust accounts and ensure that net asset valuation reports are prepared and delivered to unitholders on timely basis.

- Assist in the opening of banking and custodian accounts on behalf of trust accounts.

- Conduct periodic review of assigned trust accounts to ensure that they are being administered in accordance with company policies, jurisdiction and legal requirements.

- Ensure that all accounts met regulatory requirements and to report any breaches.

- To acquire and enhance technical skills where required, keep abreast of market developments.

Requirements

• Minimum 3 years of working experience in wealth planning, trust and other fiduciary services. Working experience in unit trust administration preferred.

• Professionally qualified – STEP or ICSA or studying towards the qualification.
