Key Responsibilities

• Admin related matters including:
  • Propose and implement office procedures and admin systems
  • Manage office assets, equipment maintenance and procurement needs
  • Manage the office space (i.e. liaising with cleaners, refilling pantry snacks, ensure general neatness of office)
• Maintaining office condition and equipment maintenance (e.g. Computers)
• Tracking and follow-up of invoice payments for projects
• Overseeing the office expenses through tracking reports
• Reconcile Xero accounting systems and work with accountant for filings
• Prepare monthly and quarterly reports
• HR related matters including:
  • Manage the hiring process, including recruiting, hiring, and onboarding of interns and employees
  • Manage all company policies and procedures and ensure compliance to all statutory or regulatory requirements (where required)
  • Ensure all employee documents are neatly organised and maintained
  • Managing company activities and staff welfare
  • Provide general administrative support to the Company and employees
  • Check Employee payroll and claims (working with our accountants, using the platform HR Easily)

Reporting to the Area Manager, your responsibilities include but are not limited to:

• Manage and ensure smooth operation of the food court (aircon/ non-aircon)
• Ability to lead and set directions as well as provide guidelines to the operation team according to company SOPs and operational workflows
• Provide development plans to team members in accordance with the company's KPI
• Identify relevant courses for the team members
• Monitor the outlet’s Profit and Loss and provide solutions to improve the bottom line
• Propose activities according to market needs
• Provide yearly sales budget proposals for the outlet
• Maintain good working relationships with landlords, relevant authorities/ agencies, licensees and sub-contractors
• Assist inspectors of relevant authorities/ agencies such as NEA, MUIS and Civil Defense during outlet inspection and follow-up actions
• Liaise with landlords on building matters, joint promotions and events
• In-charge for lease renewal agreement, negotiate and follow-up on terms of lease with licensees
• Responsible for sourcing and recommending suitable food types to fill up vacant stalls
• Conduct regular checks on food quality and provide feedback to licensees
• Ensure selling prices of stalls according to licensee agreements
• Assess and provide evaluation of subcontractors' performance
• Supervise and provide guidance to licensees and cleaning contractors to provide high quality of service and achieve housekeeping excellence
• To plan and carry out M&E works according to schedule

F&B (subject to coffeeshop outlets)

• Direct and manage retail stalls according to company SOPs and regulatory requirements
• Mentor and supervise service staff on food handling, service conduct, and compliance to standards
• Required to prepare meals such as toast making and hot foods based on the company's SOPs
• Preparation of hot and cold beverages from scratch and premix
• Advice on operational needs and service consistency
• Manage retail/food stalls according to budget with responsibility in creating and executing plans to sustain profitability
• Monitor sales and provide monthly sales reports with recommendations for business reviews with management
• Handle cashiering duties, customers’ complaints and operational issues
• Other work scope as required by business needs

Administration

• Planning work schedule of the team
• Review staff performance and provide recommendation on staff confirmation, promotion and training to enhance their work performance
• Handle disciplinary issues, grievances, disputes and work tension among the team
• Handles the termination procedures as per company’s guideline

Qualifications & Requirements

• Preferably with Diploma in F&B, supply chain or related courses
• Preferably with at least 3 years’ supervisory role in F&B sector
• Possess good knowledge of WSHA, HACCP & MUIS regulations
• Hands-on with good problem-solving skills relating to food court operations and customer issues
• Ability to foster positive working relationships

To supervise and ensure that acceptable workmanship and quality of projects are obtained to the management and consultants’ approval.

To attend, prepare and report on project progress, milestones and targets during meetings.

To organise and to chair regular site meetings with subcontractors, NSCs and suppliers.

Job Purpose:

We are seeking a highly skilled and experienced Project Manager to oversee the successful planning, execution, and completion of M&E EPC and EPCM projects. The Project Manager will be responsible for managing all aspects of the project lifecycle, including scope, schedule, budget, and quality control. The ideal candidate will have a strong background in mechanical & electrical engineering and cleanroom construction with a proven track record of delivering complex projects on time and within budget.

Key Responsibilities:

1. Project Planning and Execution:

• Lead the end-to-end management of M&E EPC and EPCM projects, ensuring that all project objectives are met in accordance with contractual agreements and company standards.
  • Develop comprehensive project plans, including scope definition, timelines, resource allocation, risk assessments, and budget estimates.
  • Ensure effective coordination and management of engineering, procurement, construction, and commissioning activities.

2. Budget and Cost Management:

4. Risk Management and Compliance:

• Identify project risks and develop risk mitigation strategies to ensure successful project delivery.
• Ensure compliance with health, safety, and environmental (HSE) regulations and company policies throughout the project lifecycle.
• Manage project changes, including scope adjustments, contract modifications, and stakeholder expectations.

5. Contract and Stakeholder Management:

• Manage relationships with clients, contractors, and other stakeholders, ensuring clear communication and successful project outcomes.
• Oversee contract negotiations, manage contractual obligations, and ensure all project deliverables are met in line with client expectations.

6. Quality Assurance and Control:

• Implement quality control processes to ensure all project deliverables meet or exceed industry standards and client expectations.
• Conduct regular site inspections to monitor progress, safety compliance, and adherence to project specifications.

7. Project Reporting:

• Prepare and present regular progress reports to senior management, clients, and stakeholders, providing updates on project status, risks, and milestones.
• Maintain accurate project documentation, including schedules, budgets, reports, and contracts

Key Requirements:

• Experience: Minimum 8-10 years of experience in project management within the M&E EPC/EPCM industry, with a proven track record of successfully managing large-scale engineering projects.
• Education: Bachelor's degree in Mechanical Engineering, Electrical Engineering, or a related field. A Project Management Professional (PMP) or PRINCE2 certification is an advantage.
• Industry Knowledge: In-depth knowledge of M&E systems, including HVAC, electrical, and mechanical systems, process system, cleanroom system, as well as construction methodologies, codes, and standards.
• Project Management Skills: Strong proficiency in project scheduling, budgeting, risk management, and contract administration. Experience with MS Project or similar project management tools.
• Leadership: Excellent leadership and team management skills, with the ability to motivate and coordinate cross-functional teams.

• Manage a portfolio of audit clients across diversified industries.
• Serve as the main liaison point between the firm and clients, providing timely responses to client inquiries and needs, and maintaining regular contact throughout the audit process.

Job Description

• Review and approve construction drawings, specifications, and designs to ensure that they meet project requirements and industry standards.
• Ensure that projects are delivered on time, on budget and to the prescribed standards.
• Communicates effectively with project teams, consultants and subcontractors to identify needs and evaluate alternative Project solutions.
• Attend meetings as required to ensure the compliance with the overall project standards, procedures requirements and resolved issued.
• Assist in selection of quality subcontractors, suppliers and vendors in the negotiation of their terms and conditions of engagement with the Procurement team.
• Regularly inspect the site progress and provide guidance to the project and construction management teams on best practices and efficiencies on scheduling and processes.
• Review and endorse subcontract documents, progress & variation works claims to customers.
