Description:
We are seeking for a motivated and meticulous individual to join us as a Personal Assistant & Leasing Officer. You will be providing secretarial support to the companyโs Director. This is an exciting opportunity for you to join a fast-growing company that is constantly expanding.
Key responsibilities:
ยท Perform clerical duties and provide secretarial support to the Director.
ยท Schedule and remind the Director of events and meetings.
ยท Make overseas travel arrangement.
ยท Follow the Director out of office for work.
ยท Updating details or status of prospective and existing outlets in the Outlet Master List.
ยท Monitoring and keep track of renewal, new and termination lease contract.
ยท Ensure all activities within the retail mall/commercial spaces are in line with Government and companyโs guidelines.
ยท Managing tenancy related issues, compiling occupancy and rental reports and other related lease management functions.
ยท Liaising with 3rd party contractors towards renovations, advertising matters, on the grounds inspection for the rented/potential retail space.
ยท Liaising with mall regarding lease contract terms and rental price, verification of application information, applying permit to work for contractor, and setting up electricity in the outlet.
ยท Liaising with external third parties (contractors, etc..) to oversee the administrative matters of the outlets.
ยท Liaising with Starhub officer for network application for different malls.
ยท On the ground inspection for the rented / potential retail space.
ยท Inform respective department such as Finance, Operations, and Marketing department regarding the opening of new outlet.
ยท Reviewing lease documentations and obtaining required bossโs signature.
ยท Overseeing office maintenance.
ยท Handling office administrative works, such as filing, and reordering office supplies.
ยท Any other ad-hoc duties as assigned.
Requirements:
ยท At least Degree in Business Administration / Management.
ยท At least 2 years of Personal Assistantโs working experience, prior experience as a manager or directorโs PA from China company is advantageous.
ยท Proficient in Microsoft Office (Excel, Word, PowerPoint, Outlook).
ยท Relevant working experience and knowledge in lease management and coordination is an advantageous.
ยท Knowledge of retail mall operations is advantageous.
ยท Proficient in both English and Chinese translation.
ยท Able to travel local and overseas with the Director for work as and when required.
ยท Devoted to work and do not mind working overtime.
ยท Able to handle confidential information with discretion.
ยท Proactive and able to work independently.
ยท Strong organizational and multitasking skills.
ยท Detail-oriented with excellent communication and interpersonal skills.
ยท Meticulous, resourceful, independent, and able to work in a fast-paced environment.
ยท Familiar with Chinese business practices and cultural nuances.
