Job Description

Regional Admin Support:

• Checking, arranging and verifying of documents from all counterparts from various Middle East, Europe, and Asia
• Preparing and arranging documents required by our regional offices for Director's signing
• Verifying claims submitted by Regional offices
• Liaising with admin assistants and outbound team from regional offices

Local Admin Support:

• Liaising with operations manager and drivers on the drivers' schedules
• Supporting Directors and Senior Managers
• Answering of incoming calls
• Ensuring sufficient supply of safety shoes and lodging kits for the incoming workers
• Scanning and filing of documents
• Sourcing of quotations
• Submitting of claims
• Other ad-hoc duties assigned

Planning and Coordinating of Travel Arrangement:

• Scheduling and managing of appointments for Directors and outbound team
• Sourcing and booking of travel itineraries including flights, accomodations, car rentals, etc
• Liaising with travel providers and supporting team
• Preparing and obtaining necessary travel documents such as visas or work passes

Requirements:

• At least 2 years of administrative experience
• Proficient in Microsoft Office
• Able to converse fluently in Chinese with our non-english speaking counterparts and offices from various regions
• Possess strong communication and interpersonal skills

Description:

• To assist and collate purchase orders / purchase requisitions.
• To assist in preparation and issuance of purchase orders to suppliers.
• To liaise with shipping agents
• To assist in co-ordination with the team on product information, price availability, documentation requirements and delivery schedule.

• To ensure and maintain proper record and filing system in department.
