Admin cum Account Assistant

Location: Near Ikea Tampines

Accounting Roles & Responsibilities:

· Process accounts payable and receivable transactions accurately and in a timely manner

· Prepare consolidation and entity level management report for monthly, quarterly, and yearly group reporting

• Responsible for monthly CPF contributions, tax clearance/ annual tax filing by working closely with Accountant during annual audit process.

· Maintain accurate and up-to-date records in the accounting system

· Quarterly GST submission and assist in preparation of annually corporate tax submission

· Long and short-term cash flow projection and monitoring

• Prepare invoicing, debit and credit notes, payments, issuance of cheques/ TT and e-filing duties, bank reconciliation, cashflow statements.

· Prepare letters and emails to remind customers of due payments

· Expenditure variance analysis and monitoring

· Liaison with external auditors pertaining to statutory audit

· Liaison with tax agent on company taxation matters

· Liaise with company secretary, bankers, local authorities, and other relevant parties pertaining to finance and account related matters

• Ad-hoc duties as and when required.

Job Requirements:

• Diploma or Degree in Human Resources Management, Accounting, Business Administration or related field
• Familiar to MOM rules & regulations is a preferred.
• At least 3 years of human resource and accounting experience is preferred
• Proficient in MS Office - Word, Excel and PowerPoint
• Proficient in HR, Payroll or Accounting software/system. (Infotech, E-Retail, MYOB)
• Well verse in English and Mandarin to liaise with overseas counter-part.
  Ability to maintain confidentiality and handle sensitive information with discretion.
• Excellent organisational and time-management skills to prioritise tasks effectively with minimal supervision.
• Attention to details, possesses positive can-do attitude and willing to learn.
• Strong interpersonal and communication skills

Contract Period:

Deployment:

• Mondays to Fridays: 7:00am to 4:00pm, inclusive of 1/2hr lunch break

Scope of Works:

• Main Duty - Customer Service Duty (mindset has to meet the realist challenges and demands of a Primary School setting)
• To answer phone calls, manage visitors, takes messages, responds to enquiries and provide general useful information (in a very dynamic environment where calls are volumous)
• Able to use school implemented IT system for administrative purposes.
• To handle daily varied demands and queries from parents / students / vendors / staff etc
• To call pupils absentees and to check with parents on their child’s status every morning.
• To call pupils to convey messages during ad-hoc / special events
• To render first level assistance to walk-in pupils’ needs including sick & injured pupils. To escalate case to other colleagues in the office immediately if it is beyond superficial cases.
• To handle / support situation when pupils’ vomit, soiled their clothes.

General Duties

• To assist in canteen matters, utility, FAS application, arrears fee, bus booking, etc
• To help update the school activity notice board in the office (data accuracy is important)
• To maintain the forms cabinet in the office. All forms must be current and to be replenished constantly.
• To assist in general typing duties.
• To assist in Stores supplies management during school holidays
• To support any other general admin duties as and when required

Key Responsibilities

• Provide transportation services for company staff from designated pick-up points to the workplace and vice versa.
• Transport company guests, directors, principals, etc., as assigned.
• Manage the timely delivery of scheduled items/goods to customers.
• Ensure the company vehicle is maintained in good working condition.
• Maintain the cleanliness and tidiness of the company vehicle.
• Execute spare parts order processes.
• Handle the picking and binning of spare parts and ensure proper storage of engines/machines.
• Verify the quality and documentation of all incoming engines, spare parts, alternators, and components for GRN purposes.
• Report defects, shortages, and discrepancies to superiors and manage the warranty claim process as necessary.
• Assure the correctness of quantity and quality in all outgoing orders.
• Process parts orders accurately and in a timely manner.
• Track sales orders and parts movement, updating sales personnel on backlogs and addressing expired sales orders.
• Handle the process of returned goods from customers and submit returned goods forms for corrective action.
• Maintain warehouse cleanliness at all times.
• Report on warehouse security issues, including parts storage, fire hazards, and personnel safety.
• Conduct regular cycle counts and annual stock-taking activities.
• Collaborate with superiors to plan spare parts inventory levels and recommend parts obsolescence programs, provisions, and write-offs.
• Ensure duties are performed with proper PPE, personal behavior, workplace safety, work performance, and individual cleanliness.
• Perform ad-hoc duties as required by Management.
