Job Description

• Handling and drafting of email correspondences.
• Carry out administrative duties such as filing, scanning, photocopying etc.
• Sort out letters and mails for distribution.
• Follow up on clients’ documents for submissions.
• Preparation of monthly performance reports, data entry.
• Preparation of meeting slides and minutes.
• Assist in coordinating for events, trainings when needed.
• General administrative support Managers when is required.
• Assist in the onboarding process for new hires.

We are seeking a versatile Associate Administrator to ensure that the administrative and operations at PW Connect run efficiently. To ensure success, an Associate Administrator should possess a great track record not only in office administration, and also exhibit advance organizational skills with a proactive and positive approach. Outstanding Administrators are excellent planners whom demonstrates a high level of integrity and professionalism.

Responsibilities:

• Report to the manager and execute assigned instructions promptly and accurately.
• Liaise with the manager on administrative matters, ensuring smooth communication and task execution.
• Oversee the maintenance, repair, and replacement of tools, equipment, and office assets.
• Handle and manage shipping and logistics operations efficiently.
• Schedule and coordinate meetings, conference calls, workshops, and events.
• Maintain confidentiality when handling sensitive information and correspondence.

Requirements:

• Minimum Diploma in Business Administration or a related field.
• 1-2 years of experience in a similar administrative role.
• Proven experience in handling and managing shipping and logistics.
• Excellent written and verbal communication skills in both English and Mandarin.
• Proficiency in MS Office Suite (Word, Excel, PowerPoint).
• Strong knowledge of administrative recordkeeping practices.
• Ability to work collaboratively within a team and manage office-related events and operations effectively.
• Experience with using and operating ERP systems.
• Skill essential for the role: Time management, multitasking, and attention to detail.

Workshop Department (Sungei Kadut)

• To perform data entry task for job orders, spare parts usage and tyre repair work
• To ensure timely updating and accuracy of data
• Responsible to generate report and summary on monthly basis
• Maintain the proper filling and document control for all processes
• Ensure safety practices and housekeeping are maintained to the highest standard
• To perform ad-hoc duties as per assigned

Requirements

• Certificate / Diploma in Logistics / Supply Chain Management or equivalent
• 1 years relevant experience
• Computer skills and Microsoft Office

Machinery Department

• Accountable to maintain & monitor the schedule of equipment’s’ renewal as to fulfil the statutory requirements (e.g. Lifting gear)
• Responsible to raise the departmental purchase requisition for approval
• Handle and coordinates on the incoming and outgoing invoices and delivery orders
• Work with Logistic Assistant to cross check and confirm on the machinery movement for billing
• Perform data entry and ensure on the accuracy
• Maintain appropriate filling of documentations for easier retrieval
• Ensure the practices and procedures meet legal guidelines, and health and safety requirements
• Ensure safety practices and housekeeping are maintained to the highest standard
• Any other ad-hoc duties as and when assigned

Requirement:

• Diploma in Supply Chain Management / Business Administration or any other relevant field of studies
• 1 years relevant experience
• Computer skills and Microsoft Office
