Job Description & Requirements

The Accounts Assistant/Coordinator supports the finance and administrative operations across various business units. Responsibilities include managing accounts receivable/payable, preparing financial reports, and ensuring accurate record-keeping within the company's accounting systems.

Finance & Administration:

· Monitor and verify incoming funds and update daily cash flow (AR/AP).

· Follow up on overdue accounts for payment and update payment due dates.

· Prepare accounts receivable (AR) reports at least twice a week.

· Generate and update statements of account (SOA) for overdue accounts.

· Update balance sheet/profit and loss (BS/PL) spreadsheets after month-end closing.

· Assist in reconciling and verifying managers' expense claims.

· Support the preparation of schedules for auditors as needed.

System Management (Dynamics 365 Business Central or equivalent):

· Familiarize with current operational processes and Business Central (BC) system workflows.

· Assist in preparing detailed walkthroughs of BC processes for training purposes.

· Conduct checks to identify discrepancies between current processes and BC workflows.

· (Bonus) Generate PowerBI reports from Business Central.

Requirements:

· Must be able to commit to at least 3 days per week, on a contract basis for 6 to 12 months.

· At least 2 years of experience in finance or accounting roles

· If currently still pursuing accounting related course, you must have at least basic understanding of accounting principles (e.g., financial statements, bookkeeping).

· Bachelor’s degree or professional certification in a related field is a plus.

· Proficient in accounting software (e.g., Dynamics 365 Business Central/Navision).

· Skilled in Microsoft Office, with knowledge of Excel tools like PowerBI being advantageous.

· Strong attention to detail and responsibility.

· Available to start immediately will be preferred.

Summary:

• Provide support and manage project

• Follow up with clients in timely manner

• Assist sales team with site survey & system design

• Provide onsite support to diagnose and rectify technical issue

• Outline budget based on requirements and tracking costs to deliver project on budget.

• Prepare detailed project plan to schedule key project milestones, workstreams & activities.

• Manage delivery of the project according to project plan.

• Track project and providing regular reports on project status to project team and key stakeholders.

• Manage and adjust for any changes in project scope, schedule and/or budget.

• Managing the relationship and communication with the client and all stakeholders, ensuring the project is delivered to their satisfaction.

Additional Information:

• Relevant educational qualifications in Diploma or Degree in Computer Science / Information Technology

• At least 1 year experience in handling software projects

• Good understanding of programming , new technology trends / applications etc and with .basic cybersecurity & network knowledge.

• Proficient in Windows, Word, Power Point, Excel, and Access

• Able work independently and with other both indoor and outdoor locations

• Effective interpersonal skills for working in a team environment

• Able to work with deadlines and pressure

• Good working attitude and self-motivated

Mon to Fri 9am to 6pm

Responsibilities:

• Prepare and monitor payments and other financial transactions
• Notify suppliers about submitted payments
• Assist with accounts reconciliations (Accounts Receivable, Accounts Payable & Bank reconciliation)
• Communicate with banks, vendors and customers
• Prepare journal entries and other accounting data entries
• Handle year end closing of shipping accounts
• Ensure proper & accurate documentation, filling, invoicing etc.
• Maintain records of transactions according to standard procedures
• Perform other ad-hoc assignments and assist in the daily finance & accounting operations

Requirements:

• Accounting degree/ACCA or equivalent preferred but not necessary
• Minimum 2 years of work experience, in shipping industry will be an advantage
• Knowledge in MS Office applications; e.g. (Outlook, Word, Excel)
• Knowledge in accounting software ShipNet would be a plus
• Attention to detail and accuracy
• Strong communication skills, teamwork, initiative, willingness to learn

Job scope:

l Manage the reception area. Attend to clients and perform front-

desk duties eg. registration, appointments, billing, answering phone calls and clients’ inquiries, arranging booking for Radiology and Laboratory tests.

l Operate the Clinic Management System.

l Perform basic health screening assessments as required ie. height, weight, blood pressure, waist, hip measurement, body fat analysis, vision testing and Electrocardiogram (ECG) test.

l Handle blood/urine/stool samples and liaise for Laboratory/specimens collection and delivery.

l Assist in dispensing prescribed medication and supplies.

l Assist the Doctor in chaperoning client, if required.

l Handling cash and credit card payments, electronic fund transfers and the NETS terminal. Ensure accurate and complete documentation for cash floats, electronic fund transfers and credit transactions.

l Submission of CHAS, Medisave, TPA claims etc.

l Manage stock and inventory.

l Maintain the general cleanliness of the clinic.

l Greeting, verifying the identities of patients and ensuring that their paperwork is accurate

l Explaining the blood draw procedure clearly to them

l Calming and putting patients at ease if they're nervous

l Ensuring that the instruments are sanitary to avoid causing infections and other complications

l Conducting blood draws via venipuncture, finger pricks or heel pricks for infants

l Assisting patients who might feel unwell or suffer adverse reactions after the procedure

l Ensuring proper labelling, documentation and storage of blood

samples

l Disposing of waste like used needles and bandages properly

l Cleaning and sterilising the work area

l Working seamlessly with a team of nurses, specialists and doctors to ensure that they get the blood samples on time

Duties and responsibilities

• Check, tally AR daily Collection on bank statement, cash book.

• Prepare Monthly AR Aging Report and generate Customer Statement of Accounts.

• Monitor customer activities through our Fleetnetic system.

• Follow up closely for customer aging with sales team.

• Check coding and post invoices from Fleetnetic system into Autoline.

• Prepare monthly bulk collection and monitor collection status.

• Monitor AR balance for both Autoline and Fleetnetic system.

• Perform Monthly billing to all inter-company (Recoverable, Rental and other ad-hoc billing).

• Update Interco AR transactions.

• Updating Outstanding balance for insurance and monitor Interco collection.

• Other ad-hoc duties as required and/or assigned.

Skill Required

• GCE O levels or Diploma qualification.

• Min. 1-2 years of experience in Accounts Receivable.

• Independent, analytical and a positive working attitude.

• Proficient in accounting software and Microsoft Word and Excel.

• Good time management and comfortable working in a fast-paced environment with high voluminous transactions to meet deadlines.

• Good team player with good communication and initiative.

• Performed detailed work with accuracy and speed.
