Job Description

This is an operational position within the Asia Centre for Health Security (ACHS). The incumbent will be part of the team to support the core functions of the centre. Their duties would include supporting the administration functions, conducting education and training programs, convening meetings, and secretariat functions.

Duties & Responsibilities
Working under the direction of the Director and Head of Operations at the ACHS, the Senior Executive/Assistant Manager will be part of the team to support the core duties of the centre:
a) Centre Administration
- Support researchers to draft, review, negotiate and execute research agreements by working closely with researchers, collaborators and internal and external legal offices
- Liaise and support the centre's leads and research staff to meet the centre's objectives of the centre
- Administrative support for the running of the centre, including arranging meetings, liaising with third party providers and vendors
- Support financial administration, processing of payment, procurement and budget tracking for centre expenses and donor funding
- Tracking of assets and reporting deliverables to funder

b) Education and Training and the Convening of Meetings and Roundtables
- Support Centre Leads in planning and execution of education and training activities of the centre, such as the ACHS webinar series, ACHS fellowship program, workshops on biosafety and health security law attended by local and international guests.
- The responsibilities would include event planning; liaising with vendors; creation of templates and forms; registration; liaising with participants and logistics arrangements including venue, travel and room bookings; and on the ground support for public seminars, workshops held in person and online

c) Collaboration & Partnership
- Liaise and work closely with local, regional and international partners and collaborators, this includes providing support for policy roundtables and panel discussions and the building a network of experienced experts in health security

d) Provide secretariat support for the centre (Faculty Meetings, International Advisory Panel), this includes arranging of meetings, preparation of slides, notes of meeting, communication and dissemination of information, and collation of reports

e) Work closely with other offices in the school, e.g. finance, HR, IT and GHO and university, e.g. OLA, ODPRT, CPO to take forward all administrative tasks, including discussion, collaboration and problem-solving on complex situations

f) Other duties assigned by the Director or Head, Operations

Qualifications

• Applicants are expected to have at least a Bachelor degree from a recognised institution with at least five years of experience in an administrative position within the academic, research or healthcare sector
• Strong administrative skills and experience in supporting projects such as convening meetings, organise training and workshops, service contracts, financial administration, or equivalent experience
• Experience organising events, in-person and online is a requirement
• Excellent written and oral communciation skills, with the ability to summarise content, prepare slides, reports and content
• A good team player who is self-motivated, well organised and with the ability to work well under pressure and tight deadlines
• Effective at problem-solving, able to take initiative to learn on the job and manage various responsibilities.
• IT systems savy and proficient in Microsoft Office Applications
• Knowledge of NUS processes and systems is an advantage
• Strong interpersonal and negotiation skills, and ability to interact effectively with all levels of associates, including senior leadership

Job Description:

1. Reporting to the Assistant Director, Partnerships and Startup Development, you will collaborate across cross-functional teams to develop, maintain and grow our strategic opportunities with both existing and new partners aligned to ACE.SG’s mission.
2. You will design, implement programmes, offerings (including sponsorship and innovation projects) and marketing campaigns for partners across the organization.
3. You will conceptualize, train and track engagement plans for partners across various operational needs and support each corporation can offer for startups.
4. You will coordinate with various account managers on overall liaison with partners and tracking of budget, project charter and budget utilisation for programmes with sponsors or partners.
5. You will analyse ecosystem needs, gaps of operation requirements startups may have and identify potential partners that could bridge identified gaps.
6. You will conceptualize and develop standardized strategic commercial objectives and partnership/sponsorship agreement guidelines across the organization.
7. You will develop, monitor and review performance indicators of measurement for the partnerships with corporations and ecosystem players across the organization.
8. You will provide consultancy and advisory services and cultivate deep relationships with key stakeholders and partners and clients and establish and enhance strategic partnerships with local and foreign entities to create opportunities in driving co-innovation activities.
9. You will carry out studies and prepare landscape reports on market development, economic analysis, technology trends and other relevant areas pertaining to the local startup ecosystem that the partners may request.
10. You will provide regular updates to the Management on the progress and activities for partners during meetings or in writing as and when as required.
11. You will manage or participate in any Special Projects, or undertake any other duties as assigned by the supervisor or the Management.

Requirements:

• Degree in a relevant field.
• 1-3 years’ work experience in a similar capacity. Fresh graduates with the relevant skills sets may also apply.
• You are obsessed with details and display unquestionable work ethics.
• A plus to have some domain knowledge of the startup scene, but more importantly you have a genuine passion for entrepreneurship and emerging technologies.

• Basic Salary up to $4,500 with yearly increment based on performance.

Our client is one of Singapore's Leading Specialists for Buddhist funeral services and you will be responsible for managing funeral transfers and services, preparing monthly schedules for ground staff, and handling petty cash and vehicle-related matters. They work closely with all departments, oversee the Customer Service Team by assisting with phone duties and managing funeral parlours, and ensure the Operations Team adheres to company policies and processes.
