Imperial Global Singapore, Imperial College London’s formal research and innovation entity in Singapore, is seeking an experienced senior postdoctoral research assistant as an Assistant Programme Director for the NH3-SOFC research programme on development of direct ammonia solid oxide fuel cells. This programme represents a new and timely collaboration between the United Kingdom and Singapore and will be based at Imperial Global Singapore (IGS) offices, located on the campus of the National University of Singapore. This senior role will be responsible for leading the coordination of the NH3-SOFC research team, working across materials science, device engineering, electrochemistry, and in collaboration with the Programme Co-Directors based at both IGS and Nanyang Technological University.

The programme aims to develop solid oxide fuel cells that can effectively and efficiently use ammonia directly as a fuel source while maintaining high performance and durability. To overcome challenges related to material compatibility, anode degradation due to nitrification, slow chemical/electrochemical processes, and performance loss, the research will explore new materials, catalysts, and cell designs. There will be two cell types of interest in this programme: i) oxygen-ion and ii) proton-conducting ceramic membrane electrolytes. The project will span the length scales, from materials discovery, including with computational approaches, through mechanical properties and microstructure optimisation to incorporation into short stacks for durability testing.

The Assistant Programme Director will be tasked with leading the coordination of the research team based at IGS, coordinating with the NTU based team in collaboration with the work package leads and contributing to management of the programmes finances and reporting requirements by working closely the IGS Associate Director. In addition, the appointee will be expected to lead an independent programme of research developed in collaboration with the Programme Director.

Duties and responsibilities

• Ensure accounts payable invoices, petty cash and E-staff expenses claims (Prosoft) are processed accurately and timely.

• Ensure GST recognition is in compliance with IRAS regulations.

• To check and ensure payments are properly supported and authorized according to Group Policies and Processes.

• Prepare and update principal supplier’ reconciliation on a monthly basis.

• Handle and resolve internal and external vendors’ inquiries and issues.

• Ensure Zero unallocated payments in ERP system.

• Petty Cash management.

• Other ad-hoc duties as required and/or assigned.

Skill Required

• Diploma or Degree qualification.

• Min. 3 – 4 years of experience in Accounts Payable.

• Independent, analytical and a positive working attitude.

• Proficient in accounting software and Microsoft Word and Excel.

• Good time management and comfortable working in fast-paced environment with high voluminous transactions to meet deadlines.

• Good team player with good communication and initiative.

• Performed detailed work with accuracy and speed.

The Administrative Clerical Assistant provides essential support to the office by performing various administrative and clerical duties. This role ensures smooth daily operations, efficient communication, and accurate record-keeping.

Key Responsibilities:

1. General Office Support:Handle day-to-day administrative tasks, including answering phone calls, responding to emails, and managing correspondence.
   Maintain and organize office files, records, and documents (both physical and digital).
   
2. Data Entry and Record-Keeping:Input and update data in company databases and systems with a high degree of accuracy.
   Prepare reports, spreadsheets, and presentations as required.
   
3. Scheduling and Coordination:Manage calendars, schedule appointments, and arrange meetings for team members.
   Assist in organizing company events, training sessions, and travel arrangements.
   
4. Office Supplies and Equipment:Monitor and replenish office supplies, ensuring adequate inventory levels.
   Coordinate with vendors for procurement and maintenance of office equipment.
   
5. Clerical Support:Prepare and distribute memos, letters, and other documents.
   Assist in photocopying, scanning, filing, and other clerical tasks as needed.
   
6. Customer and Staff Interaction:Greet and assist visitors, clients, and staff members with inquiries and requests.
   Provide support to various departments, ensuring smooth workflow.
   
7. Compliance and Confidentiality:Handle sensitive information with discretion and maintain strict confidentiality.
   Ensure adherence to company policies and procedures.
   

Qualifications and Skills:

• Education:
  High School Diploma or equivalent (Associate's Degree in Business Administration or related field is a plus).
• Technical Skills:Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
  Familiarity with office equipment such as printers, scanners, and copiers.
  Basic knowledge of data entry and record management systems.
  
• Soft Skills:Excellent organizational and multitasking abilities.
  Strong attention to detail and accuracy.
  Effective written and verbal communication skills.

Experience:

• 1-2 years of experience in an administrative or clerical role (entry-level candidates with strong skills are welcome to apply).

1. Familiar with Clinic Management System.
2. Frontline customer service for registration, enquiries, and online appointments.
3. Cashiering and application of appropriate govt subsidy schemes (e.g.PG/MG/CHAS/MS) at point of payment.
4. Collate and prepare submissions for Medisave and other relevant claims.
5. Process and dispense prescription accurately.
6. Facilitate lab specimen collection and arrange for relevant reviews, referral and appointments.
7. Triage and record patient’s vitals such as temperature, height, weight, symptoms, and allergies.
8. Chaperone doctor during consultations if required.
9. Participate in stock inventory exercise.
10. Replenish and manage consumables and medication stock levels.
11. Perform other ad-hoc duties as assigned by Clinic Supervisor/Doctor.
