Job Description

This is an research administrative and operational position within the Asia Centre for Health Security (ACHS). The incumbent will be part of the team to support the core functions of the centre. Their duties would include supporting research administration, conducting education and training programs, convening meetings, and secretariat functions.

Duties & Responsibilities
Working under the direction of the Director and Head of Operations at the ACHS, the Assistant Manager/Senior Assistant Manager will be part of the team to support the core duties of the centre:

a) Research and Centre Administration
- Support researchers to draft, review, negotiate and execute research agreements by working closely with researchers, collaborators and internal and external legal offices
- Liaise and support the centre's leads and research staff to meet the centre's objectives of the centre
- Provide administrative support and point of contact between faculty and researchers and NUS administrative departments to support the management of research projects

Qualifications

RESPONSIBILITIES

The job holder reports directly to the Senior Facilities Manager. The duties and responsibilities include, but not limited to: -

• Conducts daily inspection of the entire school compound for cleanliness, safety and maintenance;
• Plans and carries out regular preventive maintenance of facilities including aircon servicing, maintenance of kitchen equipment, kitchen exhaust, fridge maintenance, painting and cleaning of all facilities in the school;
• Handles maintenance requests and update maintenance request records and monitor response time;
• Handles maintenance cash float and ordering of hardware and materials;
• Handles feedback from Principal and Teachers, and provide prompt responses within the same day;
• Adheres to effective execution of safety and standard operating procedures and workplace safety and health (WSH) guidelines;
• Conducts WSH training of school cleaning and support staff and maintains records of training conducted;
• Works together with school's management team to plan, execute school events, and activities such as open house, concert, graduation ceremonies and other ad-hoc projects to support the room set-up of furniture and tear down of decorations;
• Supervise contractors and team of security and in-house cleaners, ensuring their full attendance and to keep proper records of their attendance;
• Provides coverage of duties should there be any absence of school cleaning staff at the school;
• Monitors performance of contract cleaning staff to ensure that they are cleaning the assigned zones and meets the high cleaning standards set and that cleaning equipment and chemicals are stored safely;
• Manages external vendors and contractors on-site maintenance works and their contracts in terms of work completion and thorough cleanliness;
• Ensures all maintenance activities are carried out in compliance with safety and environmental regulations;
• Liaise with various government authorities such as BCA, NEA, URA;
• Undertakes periodically with projects and works assigned from time to time
• Handles procurement of maintenance or minor renovation works relating to school's facilities;
• Identifies training needs of employees, source suitable training courses and submit training requisition to the Human Resource Department;
• Maintains training records of all staff who attended / completed training;
• Prepares annual training plan for maintenance and support staff;
• Be in-charge of all matters relating to the school's logistics and facilities management;
• Assist in internal events planning;
• Responsible for management of logistics, equipment and inventory related to programme delivery;
• Undertake any other duties or responsibilities assigned;
• Must be hands-on and possesses strong organisational and problem-solving skills.

• Possess Diploma in Building Services or Facilities Management;
• At least 3 years of related work experience, preferably in school environment or similar;
• Self-driven and committed individual with excellent follow up;
• Results oriented and able to work under pressure;
• Good interpersonal and communication skills;
• Competent in Microsoft Office.

Responsibilities:

· Team Management and Task Completion: Oversee and ensure the timely completion of assigned tasks by the teams.

· Officer Deployment and Coverage: Monitor and ensure adequate deployment and coverage of all officers according to operational requirements.

· Report Submission: Review, vet, and submit reports to clients within established deadlines.

· Client Coordination for Special Assignments: Collaborate closely with clients to arrange and execute special assignments efficiently.

· Officer Audits: Conduct regular audits to assess the performance and compliance of officers with company standards.

· Recognition and Incentives: Issue commendation incentives and certificates to officers who demonstrate exemplary performance.

· Training and Development: Conduct refresher training sessions for officers as needed to maintain high standards of performance.

· Feedback and Complaint Resolution: Carry out preliminary investigations into feedback or complaints raised by members of the public (MOP) or client, and take appropriate action.

· Handover/Takeover (HOTO) Process: Perform HOTO for officers who have resigned or been terminated, ensuring a smooth transition.

· Spot Checks: Perform routine spot checks on officers to ensure adherence to operational protocols.

· Client Support: Assist clients with queries and provide timely responses to their concerns.

· Officer Support and Guidance: Advise and support officers with their queries, ensuring they have the necessary information and guidance to perform their duties effectively.

· Others: Required to attend to ad hoc on-site work as well as attend to ad hoc calls or texts, which may be outside office hours.

Requirements:

· Minimum of 3 years of experience in operations management or a related role, preferably in the security or law enforcement company.

· Proven track record of successfully managing teams and operational tasks.

· Strong leadership and team management skills with the ability to motivate and guide teams effectively.

· Excellent communication and interpersonal skills for client liaison and officer support.

· Problem-solving and decision-making abilities, especially in handling feedback, complaints, and preliminary investigations.

· Strong ethical standards and integrity, especially when conducting investigations and audits.

· Flexibility and adaptability in handling unexpected situations or special assignments.

Reporting to the Restaurant Manager, you shall assist the Restaurant Manager to manage the business performance of the restaurant as well as the efficient running and daily operations of the restaurant, in accordance to the company’s standards. You are to assist in ensuring an efficient and profitable operations while the food,

service and hygiene standards.

KEY RESPONSIBILITIES

Sales management

- Assist Restaurant Manager in building sales and maximise profitability by effective cost control to meet desired business results.

- Analyse and evaluate sales trend and trading area.

- Guide service crew to use various selling techniques to recommend and suggest additional purchases and upsell to customers.

Operations

- Operationally equipped to manage all service sections within the restaurant and

its related functions.

- Assist Restaurant Manager in the efficient running and daily operations of the restaurant, in accordance to the company’s Standard Operating Procedure (SOP).

- Ensure smooth implementation and execution of A&P programs and new products.

- Evaluate and improve on operations and procedures.

- Assist the Managers in inventory control, food wastage and ordering.

- Maintain hygiene regulations and upkeeprestaurant cleanliness.

Staff management

- Assist Restaurant Manager in staffrecruitment, people development through training and staff retention.

- Lead and motivate staff in achieving salestargets and customer satisfaction.

- Lead and train staff in delivering excellentcustomer service quality and standards.

- Responsible for staff performance anddiscipline; monitor staff performance and conduct performance evaluation.

Service

- Assist Restaurant Manager in ensuringgood service standard; To providecustomer satisfaction and maintain effective communication with thecustomers.

- Attend to customers on food and beverages queries and complaints;resolving issues where possible and refer customers to managers when required.

- Manage and handle customer feedback and complaints in an appropriate and timely manner, aligned with company’s standards and Standard Operating Procedure (SOP).

ASSISTANT MARKETING MANAGER

An assistant marketing manager typically has a wide range of responsibilities, which can include:

· Implementing marketing plans, including creating advertisements for different media channels and buying ad space in order to promote a product or service

· Researching current trends and competitor offerings in order to develop new products or improve existing offerings

· Evaluating the effectiveness of marketing activities in order to determine whether goals were met and additional measures are needed

· Developing and executing marketing strategies and plans for products or services using knowledge of marketing principles and techniques

· Working with digital media outlets such as social media channels, blogs, video sharing sites, and news websites to promote products or services

· Researching new market segments that could be served by current offerings or identifying new opportunities within existing markets

· Preparing reports on marketing activities, including expenditures and results achieved, in order to track performance and identify areas for improvement

To assist the Front Office Manager in ensuring smooth operation of the Front Office. To be responsible in directing, coordinating, and monitoring the overall Front Office operation as directed by the Front Office Manager to meet the service standards of the Hotel. To direct the Front Office operation in the absence of the Front Office Manager. To assist the Front Office Manager in personnel development in order to have trained and qualified staff to consistently maintain and increase the Hotel’s service.

• Assist the Front Office Manager in setting up the Front Office training tools such as job descriptions, standards and procedures, and training plans as a guideline for the Front Office operation.
• Assist the Front Office Manager to select, hire, and train employees to meet the hotel's standard of service.
• To assist Front Office Manager in supervising, organising, directing and coordinating the staff and activities of the Front Office.
• To have Front Office managerial presence felt behind the Reception counter; ensure that Front Office Employees perform their daily duties according to required standards.
• Emphasis will be on the assignment of rooms for all arrivals, and this includes the training of the Guest Relations Executives in this aspect of the job.
• Check and ensure that consistency in the service for guest is maintained from the reservation stages to the final departure.
• To plan and prepare work schedules for Duty Manager and Front Desk personnel.
• Authorise the acceptance of traveller cheques, cash advance, rebates, paid out, refunds on the basis of established procedures.
• Monitor and control guest's credit status to ensure that payment is collectable and received on time. Perform a regular follow up for pending payments to ensure that they are collected.
• To coordinate with security in the investigation of irregularities and undesirable guests.
• Monitor and control the rooms’ situation in connection with reservations, daily occupancy and rooms’ availability to ensure maximum revenue through effective yield management.
• Attend department heads meeting in the absence of the Front Office Manager or other meetings as required.
• Be familiar with all Accounting Standards and Procedures pertaining to rooms revenue and advise staff concerned to adhere to them in daily operations.
• Know all procedures in case of emergency or fire and make sure that staff are periodically trained to face this situation and know their function according to the procedures.
• Participate in the inspection and checking the preparation for VIPs and ensure that they will receive proper treatment as VIP during their stay with the hotel.
• Keep updating with new Standards, Procedures and other information and advise Front Office section heads accordingly.
• Perform other duties related or unrelated to Front Office Department or as assigned by Front Office Manager, or the Management.
