Accounts Assistant (AR, AP, Admin)

We are seeking a detail-oriented and organised Accounts Assitant to join our team in Singapore. The ideal candidate will have minimum 2 years of experience in Accounting and administrative tasks, with a strong skillset in Microsoft Excel, administrative duties, interpersonal skills. He/She must be driven, willing to learn and a team-player.

**Key Responsibilities:**

• Account Receivable and Account Payable
• Assisting in book keeping and other basic accounting functions
• Help in implementing ERP system
• Making, receiving, and logging calls
• Answering and taking messages on behalf of the office
• Filing, organising, and archiving physical or digital documents and correspondence
• Issuing receipts and other accounting documents
• Any other ad-hoc duties as assigned

  - minimum 2 years of work experience
  - Strong teamwork and interpersonal skills
  - Proficiency in Microsoft Excel and familiar with any accounting software
  - At least a Higher Nitec in Accounting or equivalent

Job Descriptions:

Workshop Department (Sungei Kadut)

• To perform data entry task for job orders, spare parts usage and tyre repair work
• To ensure timely updating and accuracy of data
• Responsible to generate report and summary on monthly basis
• Maintain the proper filling and document control for all processes
• Ensure safety practices and housekeeping are maintained to the highest standard
• To perform ad-hoc duties as per assigned

Requirements

• Certificate / Diploma in Logistics / Supply Chain Management or equivalent
• 1 years relevant experience
• Computer skills and Microsoft Office

Machinery Department

• Accountable to maintain & monitor the schedule of equipment’s’ renewal as to fulfil the statutory requirements (e.g. Lifting gear)
• Responsible to raise the departmental purchase requisition for approval
• Handle and coordinates on the incoming and outgoing invoices and delivery orders
• Work with Logistic Assistant to cross check and confirm on the machinery movement for billing
• Perform data entry and ensure on the accuracy
• Maintain appropriate filling of documentations for easier retrieval
• Ensure the practices and procedures meet legal guidelines, and health and safety requirements
• Ensure safety practices and housekeeping are maintained to the highest standard
• Any other ad-hoc duties as and when assigned

Requirement:

• Diploma in Supply Chain Management / Business Administration or any other relevant field of studies
• 1 years relevant experience
• Computer skills and Microsoft Office

Responsibilities

Answer and direct phone calls

Organize and schedule appointments
Plan meetings and take detailed minutes
Write and distribute email, correspondence memos, letters, faxes and forms
Assist in the preparation of regularly scheduled reports

Requirements and skills
Proven experience as an Administrative Assistant, Virtual Assistant or Office Admin Assistant

Knowledge of office management systems and procedures
Working knowledge of office equipment, like printers and fax machines

Proficiency in MS Office (MS Excel and MS PowerPoint, in particular)

Excellent time management skills and the ability to prioritize work

Attention to detail and problem solving skills

Excellent written and verbal communication skills

Strong organizational skills with the ability to multi-task

High School degree; additional qualification as an Administrative assistant or Secretary will be a plus
