Roles and Requirements
- Provide full secretarial assistance to the 3 Directors
- Provide full administrative support to the staff in all aspects
- Coordinate and arrange daily maintenance of the company’s assets
- Handle and prioritize all outgoing or incoming correspondence (e-mail, letters, internal memorandums, and notices)
- Handle confidential documents ensuring they remain private and secure
- Prepare meeting slides for the company’s monthly and quarterly meetings
- Liaise and arrange Vendor’s presentation during Company meetings
- Manage information flow in a timely and accurate manner
- Maintain a systematic filing system
- Make travel and accommodation arrangements following the company’s policies
- Assist in HR Duties (application and issuance of Work Passes and keep Management updated on MOM’s employment regulations and procedures)
- Assist in customers’ feedback and attend to customers’ complaint cases
- Plan and coordinate company annual events and staff gatherings
- Assist with any other ad-hoc assignments as assigned
Requirements:
· At least 2-3 years of relevant experience and experience in HR functions
· Proficient in MS Office (MS PowerPoint, MS Excel, MS Word)
· Demonstrate ability to handle work professionally and independently
· Possess effective organizational and follow-up skills
· Meticulous, detailed oriented
· Proactive and able to prioritise work commitments
· Sense of urgency and ability to multi-task
· Pleasant disposition and customer-oriented to work with external parties including Sub-contractors and Vendors
· Articulate and fluent in speech
· Strong written communication skills
· Positive team player and able to work as a team
· Experience in renewing government statutory licenses eg. Casetrust, ISO, and HDB
