Main Responsibilities

–Report to the Operations Manager

– Check the schedule on a regular basis for arrival times and changes in them

– Gather and transport all supplies needed for the set up of a function including but not limited, silver, china, linen, skirts, glassware, condiments etc.

– Set up buffet tables according to One Paradise and function requirements with a creative flair.

– Properly set all tables, side stations and the back of the house areas for functions according to service standards

– Report any incident to immediate superior and followed up with the events report

– Assist in the placement of any food items in a function room for a display or a buffet and the ability to serve from buffet line

– Serve, prepare the proper mise-en-place for any function

– Serve all food and beverage function according to the standards set forth by One Paradise

– Ensure all tables and the function room is clean and neat prior to leaving for the shift

– Ensure all food and beverage items to return the kitchen or to the Supervisor of the Function

– Ensure all condiments including salt, pepper, sugar, flowers, skirts, and candelabra go back to store

– Service all functions including plated, buffet, silver- served or VIP meals, coffee breaks, benefits, theme parties, weddings, receptions, outside catering etc.

– Respond properly in any emergency or safety situation.

Responsibilities -

• Basic accounting duties, AP/AR
• To ensure the maintenance of the office documents with a proper and orderly filing system in place
• To keep track of office supplies/equipment/vendors and source for cost-effective and reliable vendors and suppliers, with proper replenishment and inventory control.
• Book travel arrangements, such as air tickets, hotels, and transportation.

We are seeking a dedicated and proactive Assistant Programme Coordinator to join our team and support impactful initiatives focused on improving the lives of migrant workers. The successful candidate will play a vital role in overseeing the operations of Community Law Centres and related programs, fostering partnerships, and ensuring the efficient delivery of services. This position offers an opportunity to work in a dynamic and collaborative environment, making a meaningful difference in the community.

The duties of the Assistant Programme Coordinator include, but are not limited to the following:

1. Overseeing and managing the operations of the Community Law Centres and clinics for the migrant worker population.
2. Attending to enquiries and walk-ins.
3. Scheduling of interviews.
4. Data management and engaging with internal and external stakeholders.
5. Developing and cultivating good relationships with partners and volunteers for our migrant worker initiatives.
6. Providing overall support and assistance for the Community Law Centres including but not limited to scheduling, attendance tracking, collating feedback and submitting relevant reports.
7. Managing programme risk, quality and compliance.
8. Contributing to the design and implementation frameworks to assess impact of legal programs, policies and initiatives.
9. Determining applicant and volunteer needs and profile.
10. Monitoring and managing budgets associated with the Community Law Centres.
11. Building and maintaining strong interdepartmental relationships, fostering a culture of collaboration and support.
12. Providing secretarial and administrative assistance to Migrant Workers Legal Assistance Committee, Migrant Workers Group, Content Management Committee, and any other teams or committees associated with the initiatives. Responsibilities include supporting the Programme Manager in minute-taking, actioning workplans, following up on next-steps and ensuring adherence to the budget.

Requirements:

1. Degree in social work, social sciences, public administration, law, business and marketing, or a related discipline.
2. Passion for pro bono and community work, and a genuine commitment to improving the lives of migrant workers.
3. Minimum 3 years of working experience in a related field with migrant workers or vulnerable groups.
4. Ability to work independently as well as part of a team with a strong sense of accountability and attention to detail.
5. Highly organized, strong administrative and project management skills

7. Proactive and meticulous with attention to details
