Job Overview:
The Facility and Laboratory Operations Officer is responsible for overseeing the daily operations of the facility, ensuring compliance with legal, health, safety, and quality standards, and managing laboratory operations. This role includes managing facility utilities, safety protocols, inventory, procurement, maintenance, and liaising with external vendors. Additionally, the position ensures that laboratory activities are executed with the highest standards of accuracy, efficiency, and compliance, supporting both R&D and clinical diagnostic functions. This role requires a detail-oriented, proactive individual capable of balancing facility management duties with laboratory operational responsibilities.
Key Responsibilities:
1. Facility Management:
o Ensure the facility complies with legal, health, and safety requirements.
o Oversee workplace safety, including fire safety and biosafety protocols.
o Conduct safety training for employees and communicate safety precautions.
o Manage the operational integrity of facility utilities (electricity, water, HVAC).
o Supervise and schedule maintenance repair work and ensure proper installation of equipment.
o Manage relationships with external vendors for routine services (cleaning, laundry, waste disposal, equipment performance maintenance/calibration, etc.).
2. Inventory & Procurement:
o Identify laboratory equipment needs for R&D and clinical labs, and ensure inventory is stocked with necessary consumables, reagents, and office supplies.
o Monitor inventory levels, track shortages, and document deliveries and shipments in accordance with QMS.
o Generate quotations, purchase orders, invoices, and delivery orders.
o Perform procurement of equipment and supplies, negotiate with suppliers for the best cost-effective deals.
o Prepare monthly reports on inventory operations, stock levels, and adjustments.
o Maintain accurate documentation for storage, deliveries, and QMS compliance.
o Support COGS calculations and other financial processes as necessary.
3. Quality Control & Laboratory Operations:
o Adhere to quality control procedures to support clinical diagnostic, kit manufacturing activities and ensure high accuracy and efficiency in task execution.
o Perform routine and specialized quality control procedures across product lines.
o Assist in data collection, analysis, and identification of potential sources of error within laboratory processes.
o Perform equipment PQ and support the execution of validations according to approved plans.
o Ensure proper reception and rejection of laboratory specimens in compliance with standard operating procedures.
o Track operational workflow using designated tracking sheets and Laboratory Information Systems.
o Implement new QC techniques and support technology transfers from R&D teams.
o Identify areas for continuous improvement in laboratory operations.
4. Other Responsibilities:
o Perform any additional tasks assigned by the CEO/COO as required to ensure the efficient functioning of the facility and laboratory operations.
Qualifications:
- A degree from a recognized institution with a major in biology or relevant fields
- Relevant experience in facilities management and laboratory operations.
- Strong knowledge of safety regulations and quality control procedures.
- Experience in procurement, inventory management, and vendor negotiation.
- Excellent communication, organizational, and problem-solving skills.
- Ability to manage multiple tasks and prioritize effectively.
