· Patrolling: Regularly patrol the premises, checking for any unusual activity, signs of disturbance, or unauthorized entry.

· Monitoring: Use various monitoring tools, including CCTV cameras, to keep a watchful eye on the premises and quickly identify any security breaches.

· Crowd control: When required, manage crowds, and ensure that they do not become unruly or pose a threat to public safety.

· Access control: Ensure that only authorized personnel are allowed entry into restricted areas.

· Responding to emergencies: In the event of an emergency, take appropriate actions to minimize damage, protect people and property, and notify emergency services as needed.

· Reporting: Maintain detailed logs and reports of all incidents, activities, and security-related issues that occur during your shift.

· Concierge Service: Provide excellent customer service to all visitors and tenants of the residence you are securing. (Administraive work and check-ins/outs)

This role offers an excellent opportunity for a highly organised, reliable and effective individual to take on the role of Personal Assistant (Audit Secretary) in our firm and to work with a team of professionals. The role requires you to take responsibility for the full spectrum of functions performed by a Personal Assistant (PA) to Partners and to support all other stakeholders in the team. You are expected to be proactive, forward-thinking and organized while assisting partners and teams with their work activities. You will be involved in many operational and strategical matters which will require you to thrive under pressure, maintain confidentiality and be good at multi-tasking.

Key Roles & Responsibilities

• Provide full secretarial and administrative support to the Partners and other stakeholders. Be familiar with each partners' agenda, requests and working styles.
• Booking and arranging travel, transport, accommodation and managing schedules of the partners and other stakeholders, taking accountability to plan and schedule arrangements in an appropriate and efficient manner.
• Managing diaries, organising internal and external meetings, appointments, events, and/or taking minutes of meetings, etc. To be responsible for all necessary coordination, communication and exercise discretion of the time needed for such arrangements.
• Handles and file expense claims for the reporting partners and keeps track and collate all expenses claims for required reporting purposes.
• Performs administrative duties such as preparation of engagement letters, reports, invoices, audit files, etc and is responsible for effective and timely execution of each task.
• Assist in the preparation/collation of email circulars, PowerPoint presentations, etc as and when needed.
• Develop, maintain and support a good relationship with all other PAs and to render assistance in time of need. Develop teamwork and team spirit among all PAs.
• Assist and take on ad hoc tasks, projects and engagements as and when designated and required by the partners.

Requirements

• Diploma/degree holder in any field
• Minimum 2-5 years of experience in secretarial/PA role
• Microsoft Office and good knowledge of PowerPoint presentations or related presentation tools will be highly advantageous.
• Excellent oral and written communication skills, with tact and diplomacy.
• Great team player who works well with all levels of colleagues.
• Discretion and trustworthiness to handle confidential information.
