Requirements, Skills and Experience Level
- Diploma / Degree holder
- A team player who is detail-oriented and excellent in problem-solving, communications and managing multiple projects/tasks.
- Have 2 to 4 years of experience in handling similar projects. Candidates with fewer years or no formal experience, but with comparable background or portfolio, are also welcome to apply.
- Have hands-on experience in production of digital publications and/or website content management will be an advantage. For the latter, a basic understanding of user experience design, knowledge in using testing methodologies and performance testing tools, as well as familiarity with Isomer are further advantageous.
Where applicable, candidates who wish to may provide references, portfolio and/or links to social media profiles to allow viewing of past work.
Job Description
Working closely with the respective Team Leads, you will be involved in seeing through the execution of two major projects as outlined in (A) and (B) below. As part of the CComs team, you will assist in its operational duties, or tasks as assigned by the Head of CComs.
WHAT YOU WILL BE WORKING ON:
(A) Customs Yearly Achievements (CYA) 2024
The CYA is an annual digital-only corporate publication that showcases Customs’ annual statistics, initiatives and accomplishments for the applicable Calendar Year. Incorporating multimedia content, this publication will enhance awareness and understanding among the general public and stakeholders about Customs’ policies and functions.
Your key duties/tasks for this project include:
- External Coordination & Keeping Track of Milestones: You will support the Team Lead on the necessary operational actionables and follow-ups with the appointed Vendor - including scheduling meetings/check-ins, sharing the collated Customs’ materials and information for further processing etc. You will closely monitor the agreed-upon project timelines and milestones and flag potential delays/adjustments to the Team Lead for further action.
- Internal Coordination: You will support the Team Lead in planning and coordinating the necessary actionables and follow-ups with Customs Divisions/Branches on their background policy, statistics and other information/materials that will be featured in the CYA. Apart from helping to vet and consolidate such contributed content, you will also assist in the logistical planning and coordination with the Divisions/Branches and the Vendor should any onsite production operations (e.g. photo or video shoot) be needed at any location.
- Performing Quality Control (QC) checks: You will support the Team Lead in checking on the condition and quality of any deliverables by the Vendor, from drafts/first-cuts to finalisation. Such related tasks include proofreading copy, ensuring accuracy and that the infographics and footage submitted are as per agreed upon dimensions or can work on the platforms they are meant for.
- Providing any other administrative/logistical support as assigned: The related tasks can include notetaking during meetings and archiving digital materials/files.
(B) Customs Website Revamp
The Singapore Customs Website is a vital resource for the general public, businesses, traders, and logistics providers. It provides essential information on our policies – including import/export regulations and required permits, customs procedures, as well as duty and tax declaration and payment obligations for arriving travellers. It also carries related links (e.g. to the Networked Trade Platform) to transact with Customs on applications, payments or other e-services. Being such a key digital touchpoint, we will be revamping the Website to further optimise user-centricity and a seamless experience for our customers when navigating from the informational to transactional pages.
Your key duties/tasks for this project include:
- External Coordination & Keeping Track of Milestones: You will support the Team Lead on the necessary operational actionables and follow-ups with the appointed Vendor - including scheduling meetings/check-ins, sharing the collated Customs’ materials and information content for further processing etc. You will closely monitor the agreed-upon project timelines and milestones and flag potential delays/adjustments to the Team Lead for further action.
- Internal Coordination with Divisions/Branches: You will support the Team Lead in planning and coordinating the necessary actionables and follow-ups with Customs Divisions/Branches on the pages whose content they own and will be migrated to the revamped Website.
- Performing Quality Control (QC) checks: You will update and maintain a content audit tracker, documenting page details, links, and any necessary adjustments. With this, you will support the Team Lead in checking on migrated content, including verifying functionality and link accuracy, as well as alignment to design consistency across pages. Where applicable, you will also help identify and report technical issues or errors encountered on the migrated platform. Other possible QC tasks include proofreading copy for typos or grammatical errors, or ensuring that website content (including any infographics, tables etc) accurately convey statistics/information as provided by Divisions/Branches.
- Providing any other administrative/logistical support as assigned: The related tasks can include notetaking during meetings and archiving digital materials/files.
(C) Other Operational Duties
You will assist CComs team in the following:
- Attend to public feedback and queries that come in via phone and email.
- Check and disseminate the Daily Media Report on Customs’ media coverage.
- Curate and disseminate the Weekly Internal Communications EDM for all Customs Officers.
