- Conduct administrative and operational tasks of the Centre
- Provide quality customer service through understanding of customers’ queries and needs

- Ensure student management system is updated on a timely basis for all student movements
- Assist customers on payment related matters and actively monitor/chase for outstanding payments
- Manage the petty cash float kept in the Centre
- Safeguard the safety and welfare of our students
- Ensure the cleanliness of the Centre is well maintained
- Ensure that student resources, stationery and merchandise are well stocked in the Centre

Experience and qualifications:
- GCE ʻNʼ/'O' Level / NITEC or equivalent
- Minimum 1 year of relevant work experience preferably from Education, Retail, Airlines or any other customer centric industries
- Proficiency in Microsoft Office and knowledge of ERP software

Job Overview:
The Estate Management Executive is responsible for overseeing the operations and management of real estate properties within the company’s portfolio. This role ensures the effective maintenance, safety, and operational efficiency of the estate, enhancing the tenant and visitor experience. The Estate Management Executive works closely with tenants, contractors, property owners, and other stakeholders to ensure compliance with regulations, uphold the property’s value, and meet the overall objectives of the estate.

Key Responsibilities:

1. Property Management & Maintenance:

• Oversee the daily operations of the estate, ensuring smooth functioning and compliance with relevant laws and regulations.
• Coordinate regular maintenance and repairs, addressing any issues with the building, equipment, or facilities.
• Work with external contractors, suppliers, and service providers for maintenance, cleaning, and other services.
• Monitor building conditions and carry out inspections to ensure property is safe, clean, and in good repair.

2. Tenant Relations:

• Serve as the primary point of contact for tenants, addressing concerns, complaints, and requests in a timely and professional manner.
• Maintain good relationships with tenants to ensure high levels of tenant satisfaction.
• Coordinate tenant move-ins and move-outs, including preparing the estate and ensuring all requirements are met.
• Ensure that lease agreements are adhered to and assist with lease renewals or terminations.

3. Financial Management:

• Assist with budgeting and forecasting for estate-related expenses.
• Monitor operating costs and identify opportunities for cost reduction or efficiency improvements.
• Prepare and track invoices for services provided to the estate, ensuring timely payments and collections.
• Support the financial management of the estate, including tracking rent payments and arrears.
  

4. Project Management:

• Assist in planning and overseeing small to medium-scale estate-related projects, such as renovation, upgrades, or facility improvements.
• Work with contractors and vendors to ensure project timelines and budgets are adhered to.
• Report on the progress of ongoing projects and ensure minimal disruption to tenants.
  

5. Administrative Support:

• Maintain accurate records related to estate operations, tenant agreements, and service contracts.
• Prepare reports on property performance, maintenance activities, and tenant satisfaction.
• Organize and maintain documentation related to regulatory compliance, such as permits and licenses.
  

6. Stakeholder Coordination:

• Liaise with external parties, including local authorities, vendors, contractors, and service providers, to ensure the estate’s smooth operation.
• Collaborate with property owners or senior management to address any specific concerns or strategic decisions.

7. Sustainability and Environmental Initiatives:

• Promote and implement environmentally sustainable practices within the estate, such as waste reduction, energy-saving initiatives, and green building certifications.

Qualifications and Skills:

i. Education:

• A diploma or degree in Estate Management, Property Management, Business Administration, or a related field is preferred.

• 2-4 years of experience in property or estate management, facilities management, or related roles.
