a) General

1. Maintain and update Crewing Calendar factoring projects and in-house needs and crew leave.
2. Support and provide information on Time Off In Lieu (TOIL) entitlement for in-house crew on a monthly basis.
3. Maintain an updated crew database for both in-house and freelancers with positions, grades, job scale, and performance, rate of professional fees, responsiveness, reliability, skills and technical competencies.
4. Any other ad-hoc crewing responsibilities.

b) Project-Related

1. Obtain relevant project information from Sales Department for crewing needs including details such as location of project, crew positions, duration of project, crew rate, and any other additional requirements.
2. Consult project technical manager to identify the crew requirement and skill sets required for each project.
3. Roster project with in-house and freelance crew.
4. For freelancers - Negotiate fees, manage contracts and other documents, and outline expectations and company policies.
5. Arrange and/or coordinate crew logistics including preparation of per diems, visa application, flight, accommodation, transportation, and meals.
6. Plan for crew contingencies for unexpected situations that may jeopardize projects.
7. Supper project crew by playing an active role in all communications related to crew (logistics and crew welfare).
8. Provide replacement crew if a crew member becomes unavailable due to sickness, flight cancellations, etc.
9. Assist in all project closeout activities including evaluation of project performance (from crew perspective), archival of projects, and preparation of close out reports.
10. Incorporate crew performance evaluation reports into crew database.
11. Tabulate and analyse project crew financials (freelancer fees, logistics, Per Diems, etc.) report to Crewing Manager cost over-runs or irregularities.
12. Verify invoices received from freelancers for billing.
13. Assist in reimbursements for projects for in-house crew members.

Requirements

DONOR MANAGEMENT

• Support the Fundraising team to plan and execute fundraising strategies to raise funds and build visibility and awareness for LAMOAH
• Actively seek donors and partners to meet our yearly fundraising targets. This may include research, outreach and engagement with donors and stakeholders as well as administrative work to facilitate the operations of the
• Research and identify new partners, prospective donors and supporters
• Develop new events and activities to create opportunities for fundraising, outreach and to increase awareness for LAMOAH
• Create meaningful collaborations and long-term working relationships with existing and potential stakeholders
• Support fundraising events and communications

KEY TASKS AND RESPONSIBILITIES:

Safety & Compliance

• Prioritize vessel and crew safety.
• Assist in preparing maintenance records, technical reports, and repair schedules.
• Compile and review monthly Deck and Engine reports.
• Maintain records for audits, inspections, and vessel certifications (Class, Flag, PSC, FSC).

Documentation & Reporting

• Update and distribute circulars, schedules, and reports to the vessels
• Maintain technical documentation and ensure vessel certifications are current.
• Provide monthly SHEQ statistics and on/off hire reports.
• Assist with Project Management related work and prepare timeline schedules, project tracker etc.
• Assist to analyse PMS and other monitoring system data, it’s compilation etc. with the Technical Manager.
• Ensure all vessel plans, manuals, documents, certifications (All Class and Flag certifications incl. intermediate, annual, docking etc.) are maintained and keep a repository and list maintained for each vessel.

Procurement & Coordination

• Coordinate with suppliers and contractors for parts procurement and service needs as required and attend technical meetings, providing organizational and logistical support.
• Obtain quotes for various stores, spares, and services arrangement based on RFQ from vessels and vessel managers / operations teams
• Assist to ensure that all invoices are correctly matched to PO and DO. Ensure all invoices are checked and input of the relevant account codes on the invoices.
• Ensure that all invoices are approved by the relevant person and passed to accounts in a timely manner.
• Support procurement team for spare parts, consumables and vessel related services.

Support & Administrative Tasks

• Assist in preparing tenders, technical inspection reports, and project timelines.
• Organize travel arrangements for technical staff and process expense claims.
• Provide secretarial and logistical support to Vessel Managers and Technical Superintendents.
• Provide support to insurance claims related matters to Hull, Machinery and P&I.

Project Management

• Support new vessel management takeover, including document preparation and technical manual updates.
• Track inspection reports, action items, and vessel performance data.
• Prepare and update relevant action trackers related to inspection reports, punch lists, charterers inspections in close liaison with Marine and Technical teams.
• Prepare and assist the company on Tender bids, document compilation and other processes as required for the vessels charter.

Additional works and tasks as advised by the MD.

Essential Skills & Experience

• Suitable experience in a similar position in the marine industry with at least 3 to 5 years working as a Technical Assistant for vessel technical operations.
• Strong knowledge of shipboard systems and technical operations.
• Proficiency in handling technical documentation and data analysis.
• Effective communication and coordination skills.
• Ability to work independently and collaboratively in a team environment with an attention to detail and the ability to handle multiple tasks simultaneously.
• Proficiency in Microsoft Office Applications.

THE ROLE

In April 2025 MetaSport is delivering the Singapore T100 event in partnership with the Professional Triathletes Association. This world-class event will be held at Marina Bay, and televised worldwide.

Responsibilities:

• Identify vendors for events, utilities, furniture, equipment, programmatic supplies and other necessary office services in accordance with event related requirements.
• Execute procurement tasks for all procuring equipment and services
• Coordinate and ensure that all project related requirements are reviewed and approved before ordering
• Maintain records of all transactions, ensuring that an efficient filing system for records of all quotations, procurement process, copies of records of expenditure, receiving reports, receipts, local order forms, etc. are kept accountable and easily accessible.
• Coordinate and monitor the deliveries and ensure through established procedures that all received goods/services are delivered in a timely manner.
• Responsible for project property control and inventory management; keeps records of controlled and managed equipment in the warehouse where necessary.
