The Project Executive will be responsible for overseeing the day-to-day operations of multiple construction projects, ensuring that they are completed on time, within budget, and in accordance with safety and quality standards. This role involves managing construction site activities, coordinating with internal teams and external stakeholders, and ensuring effective communication between all parties involved.

The Project Executive will also be tasked with resolving any issues that may arise on-site, managing project timelines, resources, and budgets, and ensuring compliance with all regulatory and company standards. The ideal candidate will possess strong leadership and organizational skills, with the ability to manage complex projects and maintain a high level of professionalism in all aspects of site management.

Principal Duties and Responsibilities

Construction Site Management

l · Oversee daily operations at construction sites, ensuring smooth execution of all tasks.

l · Monitor site progress and performance against the project schedule.

l · Ensure adherence to safety protocols and regulatory requirements.

l · Coordinate and supervise construction activities, subcontractors, and site personnel.

l · Conduct regular site inspections to identify and resolve issues promptly.

Stakeholder and Client Liaison

l Serve as the main point of contact for clients, contractors, and other stakeholders.

l · Communicate project status, challenges, and progress to stakeholders regularly.

l · Ensure client expectations are met in terms of quality, timelines, and budget.

l · Foster strong relationships with clients and key stakeholders to ensure satisfaction and long-term collaboration.

l · Address and resolve any concerns or disputes raised by stakeholders.

l Develop proposals for RFPs, RFQs and tenders via GeBiz

● Prepare and present reports to senior management, clients, and stakeholders as required.

Project Planning and Coordination

l · Develop and review project schedules, ensuring all milestones are met within specified timelines.

l · Coordinate project teams, ensuring all resources (personnel, materials, equipment) are available and utilized efficiently.

l · Monitor project timelines and budgets, and provide corrective action when necessary to stay on track.

l · Ensure accurate documentation of project plans, progress reports, and other relevant materials.

l · Collaborate with project managers, architects, engineers, and other professionals to ensure project alignment.

l · Implement contingency plans to address any potential project delays or issues.

Quality Assurance and Compliance

l · Ensure that all construction activities adhere to local building codes, regulations, and safety standards.

l · Implement and maintain quality assurance procedures to monitor and evaluate project deliverables.

l · Perform regular inspections to ensure construction work meets or exceeds the required quality standards.

l · Address non-compliance or quality issues immediately, implementing corrective measures as necessary.

l · Liaise with regulatory bodies to ensure all necessary permits and inspections are completed on time.

Procurement and Resource Management

l · Oversee procurement of materials, equipment, and services required for the project.

l · Ensure timely delivery of materials and resources to prevent project delays.

l · Evaluate and select subcontractors and suppliers based on quality, cost, and delivery time frames.

l · Ensure that all resources are used efficiently and accounted for to minimize waste and cost overruns.

Role:

• Verify crew qualifications and documentation.
• Apply for necessary flag state endorsements and certificates.
• Plan and monitor timely crew changes prior to contract completion.
• Prepare Seafarer Employment Agreements in line with regulated wage structures.
• Maintain and update crew records in the crew management system (Danaos).
• Track the expiration of crew documents and arrange renewals or repatriations as needed.
• Handle visa applications, flight arrangements, and hotel bookings.
• Ensure all required permits, invitation letters, guarantee letters, and travel schedules are secured before mobilization.
• Prepare and manage claims for crew travel expenses.
• Manage and document crew insurance claims related to medical issues or injuries.
• Oversee seafarer performance appraisals and support career development.
• Ensure compliance with company policies for all crewing matters on assigned vessels.
• Apply for or renew Collective Bargaining Agreements and ITF Blue Cards annually.
• Participate in annual crew budget planning and identify cost-saving opportunities.
• Address crew welfare issues promptly, ensuring their well-being.
• Stay informed of international maritime regulations and ensure compliance.
• Be ready to coordinate emergency responses and crew evacuations if required.
• Organize and facilitate training programs to enhance crew skills and knowledge.
• Perform additional duties as directed by the Manager.

Requirements:

• Minimum Diploma with 1-2 years of relevant marine industry experience.
• Experience with Singapore port limit harbour craft manning processes, including work permit applications, renewals, manning licenses, pilot exemptions, MPA-mandated training, and Inland Revenue crew tax management, is a plus.
• Ability to manage overseas manning agents and seafarers from Indonesia; proficiency in Bahasa Indonesia is advantageous.
• Strong team player with the ability to work independently.
• Proficiency in MS Office applications.
• Excellent interpersonal, communication, and computer skills.
• High attention to detail and accuracy.

RESPONSIBILITIES

The IT Executive II is a key member of Care Corner's internal IT team responsible for the support of PC & peripherals, network and enterprise systems used in Care Corner Singapore and Care Corner Senior Services. This role will work closely with the end-users, internal IT team, outsourced Level 1 helpdesk support service, as well as vendors/service providers via back-to-back support arrangements.

Reporting to the Head of IT and Digitalisation, the IT Executive II has both technical and non-technical responsibilities.

On the technical front, the IT Executive II will be supporting IT hardware and network (e.g. PCs, printer and network equipment) as well as administration of Microsoft 365 and related applications (including Exchange, Sharepoint and Teams phone), Entra and Azure Portal, Intune Management Portal, Salesforce, cloud backup solutions, and other SaaS solutions. There are regular tasks such as the monitoring and follow-up of system resources and alerts, including site availability, vulnerabilities and DNS records, and also Helpdesk tickets & reports. This role will also manage projects, such as relocation or upgrade of office networks, and migration of telephony systems. The IT Executive is also expected to assist with the research, development, troubleshooting and maintenance of low-code/no-code applications such as Power Automate & PowerBI.

On the non-technical front, this role will assist with IT sourcing and procurement, vendor management, project and system documentation, user training, policy enforcement, contract, license and subscription management, billing, and IT asset management.
