The Finance Executive ensures accurate accounting entries and processes payments to vendors promptly in acccordance with Capella Hotel Singapore's policies and procedures.

The Role

Accounts Payable

• Reconcile payments with suppliers' statement of accounts
• Follow up on outstanding invoices and ensure closure
• Ensure prompt and accurate payment to suppliers
• Maintain AP Aging balances according to established policies & procedures
• Update maintenance contract records and follow up with respective departments
• Sort and distribute incoming mail
• Ensure that all suppliers' invoices are properly documented and supported by backups
• Keeping track of all payments and expenditures in an appropriate manner
• Assist Finance Manager to prepare month-end closing financial reports
• Prepare month-end closing accruals
• Prepare month-end Balance Sheet reconciliations for AP related accounts
• Cover General Cashier duties in his/her absence

Other Duties / Tasks

• Count and verify daily cash receipts that are submitted from individual cashiers.
• Document the reconciliation of all cash receipts to the PMS system and complete the daily cash over and short report.
• Consolidate, prepare and make the daily bank deposits in a timely manner.
• Reconcile daily cash submissions from various departments in the hotel against the bank deposits.
• Ensure that all cash-handling employees have adequate monetary change throughout their work shifts.
• Submit foreign currency rate changes to the Night Manager on a daily basis & to ensure that all rates have been updated.
• Make petty cash disbursements and expenses claims according to policy and procedures.
• Reconcile petty cash payments and submit for Assistant Director of Finance's approval.
• Perform a daily cash count of the General Cashier's float and report all counts/discrepancies to Assistant Director of Finance.

As a Sales Executive, you play an important role in between the company business activities and customers, as well as related trade parties by processing/coordinating related work. You are responsible to understand customers’ needs, respond to company general matters and provide assistance in the service fulfillment process, which includes communicating, handling point of sales inquiries, tender processing, attend feedback meeting, attend to site matter feedback, following up on trade matters, etc.

Job Responsibilities:

• Oversee the accurate and timely processing of sales, tender, quotation, other trade documentation to comply with regulatory requirements, client specifications and company guidelines
• Assist in costing calculations and site surveying
• Generate prospective leads
• Prepare presentation materials and conduct presentations to clients
• Manage and process sales opportunity till case closed
• Provide customer support for sales via email, live chat, and call-in
• Coordinate and Consolidate information with the relevant departments to meet customer/trade parties requirements
• Manage sales documents/activities with various business portal

Job Requirements:

Taxation Management

Managing all group tax matters, including corporate income tax, GST, withholding tax, etc.

1) Corporate Income Tax:

• Preparing provisional tax computations for the holding company and subsidiaries in Singapore.
• Liaising with tax agents on corporate income tax matters, providing necessary information, and reviewing tax computations before submission to IRAS.
• Preparing deferred tax computations and reconciling tax to accounting.
• Reviewing subsidiaries' corporate income tax computations.
• Preparing forms required by IRAS (e.g., Form AC, RPT Form, Section 34C forms).
• Evaluating group relief transfers, ECI requirements, and other compliance needs.
• Preparing ECI and reviewing Form C/Form C-S submissions, including supporting documents.
• Collaborating with auditors on tax-related issues.

2) Other Tax-Related Matters:

• Liaising with IRAS officers on audit of GST return, financial year changes, and other tax queries.
• Advising accountants on GST, including input tax claims, zero-rated GST, and final GST submissions, and compliance matters
• Coordinating with holding and subsidiary accountants on group tax matters.
• Advising accountants and support group finance manager on cross-border taxation such as permanent establishment risks, withholding tax (e.g., Malaysia, Thailand, Indonesia, Japan, China).

Financial Reporting and Consolidation:

• Preparing monthly, quarterly and annual reporting packages for submission to holding company, including group sales analysis by product and by industry, variance analysis, and outstanding loan and guarantee reports.
• Consolidating subsidiaries' monthly financial analysis, including balance sheet and profit-and-loss reviews.
• Preparing audited financial statements and addressing auditor queries.
• Preparing financial statements for filing to ACRA
• Include but not limited to managing group bank account updates and loan-related matters, providing financial data for bank loan renewals and sales tender, and supporting the director with miscellaneous financial tasks as required.

Job Scope:

• Prepare Tender estimation, submission by providing calculation and monitoring
• Perform risk and value analysis and all Terms & Condition in contracts
• Responsible for all cost estimates, budgetary, cost contract purchase, and handling of material throughout the contract period
• Source for suitable subcontractors for specialized jobs and complex work and assess subcontractors' invoices, and conclude bill settlement within target timeframe
• Assist Commercial Manager with inquiries and billings
• Experience in the Marine Offshore field to understand the repair scope enquired by Clients.
• Other ad-hoc duties assigned.

Requirements:

• Minimum Diploma/Degree in Naval Arch / Marine or Mech Engineering related studies
• Minimum 5 years working experience in Shipyard or Marine related industry
• Proficient in MS Office
• Knowledge in AutoCAD is advantageous
