Your Role

We are looking for an experienced Personal Assistant to provide high-level confidential support to the Director by delivering full secretarial and administrative service to an International Human Resource & Immigration company.

What Will You Do

• To manage Director's calendar, for meetings, events, expense reports, and claims submission.
• To plan and schedule meetings according to Director’s requirements.
• To coordinate internal meeting arrangements for the Director.
• To prepare and compile meeting materials, such as presentation decks, files, reports and other information.
• To follow up with relevant parties to ensure timely submission of materials prior to the meeting.
• To attend meetings or discussions with the Director and record minutes, including person's responsible for the follow-up action points and timeline for completion.
• To follow up with relevant parties and record progress of follow-up action items prior to the next meeting.
• To conserve the Director's time by reading, researching, collecting and analysing information as needed ahead of time.
• To maintain an organized system for tracking, monitoring and prioritising contacts, tasks, and projects for the Director.
• To coordinate key initiatives and projects on behalf of the Director.
• To support the Director in the management of her IT equipment (e.g., laptop, printers and office phone), mobile devices as well personal and corporate software applications.
• To support the EC in planning, organising and executing personal matters.
• To manage sensitive matters with a high level of confidentiality and discretion.
• Be responsive to emails/ text messages/ phone calls, with contact outside normal business hours.
• To perform any other tasks and duties assigned by the Director.

What Do We Want

• At least a Diploma/ Degree in a relevant field, preferably in Human Resource Management/ Marketing
• At least 2 years of experience in office administration work
• Strong written and verbal communication skills.
• Have strong knowledge in MS Word, Excel, and PowerPoint.
• Familiar with Social Media platforms and applications.
• Good interpersonal and communication skills.
• Good knowledge of MOM/ CPF/ ICA/ IRAS or other immigration work will be an advantage

This role collaborates with traders on operations and trade execution, oversees contract preparation, manages crude oil trading and logistics, monitors trade life cycles, liaises with trade finance regarding letters of credit, and reconciles voyages and storage to identify discrepancies.

Job Duties

1）Prepare deal report after trader has confirmed deal recap.

2）Review Supplier contract and prepare sales contract. Ensure all the necessary department (legal, risk or finance) has reviewed. Ensure the necessary approval obtained timely.

3）Communicate with HQ for the necessary requirements of the loading and / or discharge of the cargo.

4）Communicate with supplier and surveyor to ensure that HQ requirements are conveyed and complied.

5）Clearing Vessel, send the documentary instruction and / or discharge order, appoint surveyor and track the phyiscal cargo movement, ensure the vessel loaded and discharged timely.

6）Ensure the credit term eg LC, prepayment or PCG are timely issued / received to avoid delay in loading and / or discharge. Communicate with Trade Finance and supplier to ensure smooth issuance of the credit security.

7）Updated the cargo files and / or ETRM system (if any) to ensure the information are up to date.

8）Any other duties as assigned.

Job Requirements

1）Bachelor’s degree in Business Administration, Supply Chain Management, Finance, or a related field

2）Familiarity with ETRM systems and trade life cycle management; comprehensive understanding of contracts, trade finance, and letters of credit.

3）Minimum of 3 years of experience in operations management, particularly within the trading or oil and gas industry, with a strong understanding of crude oil logistics and trading processes.

4) Proven ability to work collaboratively in a fast-paced environment and lead cross-functional teams to achieve operational goals.

5) Ability to manage multiple tasks and maintain accuracy while reconciling voyages and storage to identify discrepancies.

6) Competency in Mandarinin to be able to liaise effectively with native Mandarin-speaking stakeholders and to understand Chinese documents.

Duties of Shipping Operations Executive :

Managing inbound and outbound documentation for vessels

Planning departure schedules to maximize cargo efficiency

Liaising with internal team members (transport and warehouse) to ensure shipment fulfilment is on track

JOB DESCRIPTION

 Good team player with the ability to work independently and to meet timeline.

 Knowledge and experience with Audit Analytics Software will be an added advantage.

JOB SUMMARY
