We are looking for an experienced Administration Manager to supervise daily support operations of our company and plan the most efficient administrative procedures. You will lead a team of professionals to complete a range of administrative duties in different departments.

A great administration manager has excellent communication and organizational skills. The ideal candidate will be well-versed in departmental procedures and policies and will be able to actively discover new ways to do the job more efficiently.

The goal is to ensure all support activities are carried on efficiently and effectively to allow the other operations to function properly.

Administration Manager Responsibilities

• Plan and coordinate administrative procedures and systems and devise ways to streamline processes

• Recruit and train personnel and allocate responsibilities and office space

• Assess staff performance and provide coaching and guidance to ensure maximum efficiency

• Ensure the smooth and adequate flow of information within the company to facilitate other business operations

• Manage schedules and deadlines

• Monitor inventory of office supplies and the purchasing of new material with attention to budgetary constraints

• Monitor costs and expenses to assist in budget preparation

• Oversee facilities services, maintenance activities and tradespersons (e.g electricians)

• Organize and supervise other office activities (recycling, renovations, event planning etc.)

• Ensure operations adhere to policies and regulations

• Keep abreast with all organizational changes and business developments

• Perform any other duties assigned by the director.

Administration Manager Requirements and skills

• Proven experience as administration manager

• In-depth understanding of office management procedures and departmental and legal policies

• Familiarity with financial and facilities management principles

• Proficient in MS Office

• An analytical mind with problem-solving skills

• BSc/BA in business administration or relative field

• The ability to work under pressure.

• Availability to work within opening hours (e.g. evenings, holidays, weekends).

Job Responsibilities:

· Manage and oversee all production activities to meet production schedule in Batam.

· Review the production processes and manage the budget to eliminate wastage and achieve cost effectiveness.

· Implement continuous improvement plan to improve operational efficiency.

· Ensure operations comply strictly with production procedure, safety and quality standard, and meet regulatory requirements.

· Work with other department in standardization and cost reduction.

· Manage ISO and customers audit.

· Train and improve the skills & abilities of production staff.

· Formulate annual budgetary and production plan.

· Other duties as assigned.

Requirements:

· Degree in Engineering or related discipline.

· At least 10 years of working experience in production department, with minimum 5 years in managerial capacity.

· Strong problem-solving skills.

· Possess good communication, interpersonal and analytical skill.

· Be culturally sensitive.

· Proficient in Japanese language (reading, writing, speaking).

· Knowledge of Six Sigma/LEAN concept is an added advantage.

· Past working experience in strong regulatory compliance organization is an added advantage.

· Able to be assigned or stationed in Indonesia Batam.

Job Description:

1. Oversee all airport operations at the station, ensuring seamless, safe, and efficient services for passengers and aircraft handling.
2. Ensure strict compliance with local regulations, airline policies, and international aviation standards (e.g., IATA and ICAO).
3. Manage ground handling service providers, contractors, and airport authorities to uphold service excellence and cost-effectiveness.
4. Monitor station performance metrics and implement strategies to improve operational efficiency.
5. Respond promptly to operational irregularities, disruptions, or emergencies to minimize impact and ensure passenger satisfaction.
6. Lead and develop a team of station staff, fostering a culture of safety, accountability, and continuous improvement.
7. Prepare and manage the station’s budget, ensuring cost control and resource optimization.
8. Represent the airline in meetings with regulatory authorities, airport management, and industry stakeholders.
9. Any ad-hoc duties assigned by the headquarters and Branch General Manager.

Requirements:

1. Bachelor’s degree or equivalent experience in aviation management, tourism and hospitality management, or a related field.
2. Minimum of 9 years of experience in airport or airline operations.
3. Strong knowledge of local and international aviation regulations.
4. Proven leadership, problem-solving, and communication skills.
5. Proficiency in managing budgets, contracts, and service-level agreements.
6. Ability to work in a fast-paced, high-pressure environment with flexibility for irregular hours.
7. Singaporean or Singapore PR preferred, in compliance with local employment regulations.

Under the supervision of the Project Director, the Project Manager will be required to perform the following duties and responsibilities:

Stakeholder Management:

• Manage communications and ensure stakeholders are aware of project activities, progress, exceptions and are in a position to accept handover products;
• Advise the client on issues that may impact the achievement of their outcomes (including issues of sustainability and post project requirements such as maintenance);
• Manage the information flows between the Project Director and the project;
• Draft, edit and manage the compilation and submission of periodic project progress reports to management in a timely manner

Delivery and Performance:

• Assist with the production of budget estimates for project deliverables;
• Support the development of work plans and budgets for all activities in the project;
• Upon commencement of project, assists in the management of finance, human and information resources to maintain a good project management system;
• Assist with and participate in internal and external reviews;
• Provide quality assurance support;
• Support the maintenance of all works efforts, to ensure they are delivered on time, to cost and quality standards;
• Seek to identify any project obstacles, barriers or any unanticipated risk events;
• Assist the PD to plan, monitor and evaluate project procurement and contracting processes;
• Ensure the integrity of financial and administrative operations in the project

Project Control

• Track project execution by ensuring timely and adequate reporting;
• Monitor all project activities in relation to the respective project work plans and take corrective action, when necessary, to ensure the timely and cost-effective delivery of project outputs;
• Assist the PD with the maintenance and dissemination of the project’s communication management plan, to facilitate the dissemination of information and reports to all key stakeholders;
• Monitor project progress, identify improvement opportunities, assist with the revision of work plans and advice the project director of possible adjustments to meet the project objectives;
• Monitor contract obligations, develop management systems and accountabilities to ensure all contract obligations are tracked and met, including contractor and client contract obligations.

Safety and sustainability

• Ensure compliance with Workplace Safety and Health (WSH) policies and practices;
• Assess inspections to ensure compliance with organisational health and safety policies, processes and procedures;
• Assess records of accidents and incidents against WSH policies and practices;
• Apply organisational environmental sustainability and green building standards and guidelines;
• Implement risk management plans and risk controls in alignment with organisation's risk management framework

Personnel Management:

• Lead and motivate the project team;
• Ensure that performance reviews are conducted;
• Ensure safety for all personnel and comply with the company standards

Qualifications and Experience

Education

• University Degree in Civil Engineering, Project Management, or other relevant discipline

Languages

• Fluency in written and spoken English is required

Work Experience

• Minimum 10 years of relevant experience in project development
• Experience in Bridge Project with erection works using specific Equipment (Launching Gantry, Lifting Frame…) and Post-Tensioning system works

Additional Requirements:

• Competent in the use of all commonly used computer software – outlook, Microsoft, Teams
