Under the general guidance of the Director of Finance, you oversee and direct all aspects of the finance function, including the accounting operation, financial reporting, managing relationships with lenders and compliance with tax and other governmental authorities.

Reports directly to the Director of Finance on all day-to-day operational matters affecting the hotel, and directly to the Director of Finance on all finance matters.

Essential Responsibilities

• Supervises the accounting department of the Hotel
• Directs the accounting departments of the hotels to ensure strong accounting procedures and controls are in place, and financial reporting is timely, reliable and accurate.
• Responsible for all staffing matters for the finance function including recruitment, training and counseling of employees.
• Oversees hotel accounting systems and ensures full use is made of system capabilities.
• Responsible to produce the most effective and efficient accounting organization and processes to support the hotel’s operations.
• Provides financial support to the Director of Finance/GM and the hotel Executive Committee, including periodic reporting, financial analysis, forecasts etc. 
• Provides financial input on all significant business decisions.
• Monitors departmental costs across hotel and provides leadership in controlling and reducing costs.
• Monitors financial performance and provides the management team and with early warnings of variances from budget or forecast.  Responds proactively to business developments, and assists the management team to take appropriate action to address changing circumstances.

Role Purpose:

The role is a key client interface working closely with the Southeast Sales Team in the successful delivery of major events customers and projects such as Singapore F1

What you will be delivering:

• Successful management of specific projects and major client orders to a successful completion both operationally and finically. This will include at multiple project deliveries.
• Working with the Operations Manager to develop class leading project management tools.
• Schedule projects in logical steps and calculate the time required to meet deadlines and preserve margins.
• Prepare and submit budget estimates and progress and cost tracking reports.
• Select, contract, and oversee workers who complete specific pieces of the project. Develop and implement quality control programs
• Study job specifications to determine appropriate methods.
• Determine labor requirements with the Operations Manager. Plan, organize, and direct activities concerned with the installation, maintenance, and teardown of jobs.
• Confer with supervisory personnel, customers, and co-workers to discuss and resolve issues.
• Provide pricing estimates and Change Orders to customers for adjustments to resolve issues during the job’s execution.
• Ensure that all Company policies and procedures are followed on job sites.
• Advise on technical and commercial aspects for bespoke events customer contracts / agreements.
• Work with the customer on project design to achieve their objectives in reducing their reliance on diesel products, reducing fuel burn, and reducing their carbon footprint.
• Identify opportunities to introduce green products and fuels in line with customer’s sustainability aspirations.
• Manage the P&Ls and planning for events projects, engaging the Sales, Fleet, Transport and Service teams to manage costs and resources efficiently and effectively.
• Collaborate with Operations Manager & Procurement to arrange suitable contractors, suppliers, and stock to support events projects.
• Compliance in maintaining (accurate and relevant) all project related information on the appropriate systems (Salesforce / FSL / ERP / shared drives); this will include keeping a record of all changes / amendments and ensuring plans and records of equipment and resources are kept up to date and ensuring ‘as built’ drawings are completed and available on Salesforce.
• Notify the Operations Manager and Management Team of any variation from design and produce all documents for a variation order to the customer.
• Identification of project risks and definition of countermeasures.

Job Description

• Assist Project Manager to oversee, coordinate & execute assigned projects.
• Perform leadership & ownership to coordination & execution projects. Ensure projects complete and deliver it on scope, on schedule & on quality.
• Perform project schedule, planning, material requisition, cost monitoring and documentation submission & control.
• Coordinate with the internal design team & external customers on project document & drawings submission, amendments, re-submission & approval.
• Update & backup project documentation, drawings, reports & procedures (SOP, WI, Lesson Learned, etc.)
• Participate projects progress meeting and update weekly status, monitor contracts completion and submit weekly reports to PM & customers.

Job Requirements

What will you do?

As a Project Specialist supporting the client’s Marketing teams of one of the largest tech companies, your work will include driving event production excellence through the management of venues, technical production, experiential programs, registration, translation services and event logistics.

The ideal candidate is resourceful and enjoys working in a fast-paced environment with multiple deadlines. He/she is innately curious and wants to make a difference with his/her work. This role supports our client's marketing activities, including market research, developing proposals for marketing campaigns and events planning.

Role: 

• Develop and manage comprehensive event plans, budgets, and timelines, ensuring alignment with brand guidelines, objectives, and cross-functional teams.
• Project manage the coordination of guest management and registration experiences for local event activations across multiple APAC markets. This entails supervising the creation of landing pages, registration forms, and email communications.
• Understand and articulate the requirements of local APAC market teams to steer the development of APAC templates for landing pages, registration forms, and communications. Ensure timely communication of changes and needs to the Global team.
• Maintain close collaboration and diligent follow-up with local APAC market teams and production agencies to establish and adhere to project timelines and milestones. • Collaborate with local APAC market teams and relevant event agencies to conduct comprehensive quality assurance and testing on landing pages, registration forms, and email communications. Verify that inputs from local teams are accurately reflected on the live site.

You:

• 4+  years of project & event management experience, including multi-stakeholder management across multiple markets 
• You thrive in a fast-paced, collaborative environment, embracing cross-functional teamwork with local and regional marketing teams.
• Experience managing third-party agencies and sponsors 
• Experience leading and managing c-suite events & experiences / high-profile events in the marketing/tech sector or brand experience space
