Job Summary

Primarily support the CEO of the APAC headquarters in secretarial tasks, while also assisting the Sales Planning Team with administrative duties. (Approximately 80% of the role involves secretarial work.)

Responsibilities

1. Executive Secretarial Duties

Support the efficient and creative execution of tasks for the CEO and CXOs (CSO/CFO/CTO) through schedule management and act as a positive representative to external stakeholders.

Specific Duties:

· Prepare and manage documents, reports, and other materials

· Plan and coordinate meetings, conferences, and travel arrangements (including flights, hotels, and company car bookings)

· Manage schedules and calendars, and set and confirm appointments

· Organize and manage internal and external events

· Handle incoming emails, mail, and other communications

· Respond to inquiries and provide information (both verbal and written)

· Coordinate the flow of information internally and externally

2. Sales Planning Support

Assist with routine tasks, document preparation, and administrative support for sales planning and marketing activities.

Specific Duties:

· Prepare materials for sales meetings and consolidate weekly forecasts

· Manage and update data (e.g., customer and user information)

· Monitor the status of sales opportunities and create reports

· Create and update company website content and sales tools

· Support planning and operations for events (e.g., exhibitions, seminars, and webinars)

· Arrange and manage email marketing campaigns and social media/ web advertisements

Requirements

· At least 3 years of experience in secretarial or similar roles

· Proficiency in Microsoft 365 applications (Outlook, Teams, Excel, PowerPoint)

· Good verbal and written communication skills in English and Japanese (Need to liaise with Japan counterpart and headquarter).

Liaise with consultants for the submission and approval of materials and shop drawings

Responsible for planning, programming and monitoring of work progress on site Co-ordinate the inspection work by Resident Engineer and clerk of works

Handling technical and engineering problems on site

Ensure site safety and proper execution of site work procedure on site

Monitor and co-ordinate the works of subcontractors Structure and Architectural work

Tasks

• Project ownership from Pre-Sales through to delivery.
• Point of contact for all deliverables within the projects, meet required quality levels, budgets and timescale.
• Manage all communications on the projects and attend customer meetings.
• Identify and manage risks, issues, actions and dependencies throughout the lifecycle of the projects.
• Lead and manage both internal and external teams on project work. Monitor and report on progress of the projects to all stakeholders.
• Generate Bill of Material based on the order requirements. Coordinate with various departments to resolve customers' queries.
• Allocation of Engineers assignment according to requirement locally and overseas. Carry out in house testing on new products.
• Liaise with contractors and customers to ensure on time delivery of projects. Attend Local or Overseas Site Survey.
• Attend Local or Overseas Commissioning onboard vessels. Prepare report according to Site Survey requirement.
• Prepare Schematic and Termination Drawing in accordance to requirement.
• Provide technical support to customers.
• Troubleshoot/ isolate faults and repair faults.
• Support tasks and manage communications with client and internal department.
• Maintain update of records of JIRA/WIKI/SHAREPOINT for Projects and ongoing service tasks.

Professional Competencies

• At least 7 years experience (Marine and Offshore industry preferred)
• At least a University degree or equivalent (all engineering degrees are welcome to apply)
• Proven effective communication skills
• Ability to travel and work in the field on remote sites
• Motivated and highly-adaptable
• Great with managing clients and timelines
• Ability to work in a team environment.

Job Scope:

• Responsible for co-ordination of all technical activities on assigned project and assist in ensuring successful completion and execution of the assigned projects.

• Set up network equipment/system for site deployment.

• Participate in Site Test with Customers.

• Ensure effective communication and coordination between all disciplines and project participants in the projects, to resolve all site issue hindering the work progress.

• Assist in planning, scheduling and coordination of works and ensure proper deliverables and full compliance to the approved standards.

• Report to the Project Manager on any site issues hindering the work progress. Highlight those changes that might result in omission or variation cost.

• Report to the Project Manager/Site Manager on work progress carried out on site.

Requirements

• Nitec in Electrical and Electronic Engineering.

• Strong communication and coordination skills.

• Basic Network knowledge is required.

• Experience in Wifi, CCTV and Network is preferred.

• Good planning and project management skills.

• Resilience and ability to work under high pressure.

• Good interpersonal skills and ability to manage difficult situations and client relations effectively.

• Experience with M&E Site Coordination will be an advantage.

• Able occasionally at night to work at work for maintenance support.

• ITE/Technical Cert/Diploma in Electrical/Mechanical
• Oversee project execution, ensuring adherence to timelines, and quality standards
• Coordinate with customers and manage logistics processes to ensure timely delivery
• To prepare on site reports
• Perform daily on site coordination with clients and engineers
• Ensure Site Safety of Workers and generate of Risk Assessment Reports
• Provide post-sales support, addressing any customer inquiries or concerns
• Attend to client’s request and assist with claims for additional charges
• Good Interpersonal skill and able to communicate in mandarin with china customers
