Directly work with customers by answering product and service questions; furnishing information about other products and services; process orders and prepare delivery documents; correspond with and go the extra miles to fulfill customer’s needs to ensure customer satisfaction.
• Resolve product or service problems by clarifying the customer's complaint; determine the cause(s) of the problem; discuss and propose solution; execute and follow up to ensure satisfactory closure.
• If problem was complicated or systemic, to escalate and redirect the issue to the appropriate team or department for resolution.
• Documentation and maintenance of customer records and operation details:
• Keep detailed customer records and update customer records after each interaction (such as compliment, complaint and feedback) with that customer.
• Assist the Sales and Marketing Team in boosting sales and performance. This include providing feedback on market intelligence, competitors’ activities, setting up appointments or following up with customers after their first interaction with the salesperson.
• Prepare performance and other administration reports
• Interface with various functional areas to co-ordinate scheduling activities to meet committed plans and customer’s sales / service order.
• Coordinate and resolve potential conflict of scheduling priorities and resource allocation with the plant process owners and drivers to ensure all delivery / collection activities are carried out in a timely manner.
• Conduct briefing to ensure that the drivers and assistants know their specific job scope and equipping requirements, safe work method, work schedule, delivery time frame as well as compliance with the Safe Operational Procedure, and performance standard of their assigned task.
• Monitor terms and conditions of Purchase / Work Orders received from customers and follow up closely on the delivery dates and quantity to be fulfilled.
• Assist in logistics resource forecasting and capacity planning, monitoring and motivating drivers and delivery assistants work performance, skills and training needs.
• Keeping record of work hours and trips performed by drivers and delivery assistants

Requirements:

• Degree / Diploma in Logistics / Supply Chain / Business Administration / Engineering.
• IT savvy in MS office and IOT.
• Candidates with good people skills (positive, meticulous, proactive problem-solving attitude) and possess empathy, strong customer service orientation are good fits for this role.
• Interpersonal and communication skills –Good listener, blessed with ability to communicate and interrelate well with customers, colleagues and business associates from different backgrounds.
• Good planning capability: Ability to multi-task, prioritize and manage time effectively.
• Mature and have minimum 3 years of experience in highly dynamic customer service and Operational planning and control work environment.

Job purpose:

• Responsible for the execution of export/ import haulage arrangement against a PO, with focus on cross boarder shipments.
• Ensure smooth haulage arrangement, i.e. ensure there is truck to execute order as well as the manufacturers are following through with arrangement.
• Review and explore opportunities for improvement against, but not limited to established project plan, and against actual operation

Decision accountabilities:

• Meet the KPI for Haulage
• Understand the internal customers’ requirements and priorities and manage the day to day operation of job expectation.
• Work with all stakeholders of PO to deliver a PO within agreed time

Key responsibilities:

• Process the order in the system as per SOP
• Trouble shoot operational issues to ensure the haulage arrangement is on time. This may go beyond official working hours.
• Update and maintain the master data for haulage in the system to ensure that it supports the order processing.
• Follow up and ensure all the custom documentation is organized in accordance to the respecting export/ import requirements of the country.
• Ensure timely and accurate filing of documentation in accordance to internal and external audit requirement.
• To plan and organize weekly pick up schedule to factories and arrange delivery order to trucker for the markets, mainly MYS – SG
• Monitor trucker performance to ensure the factory pickup schedule and delivery to port is executed according to agreed timeline.
• Arrange consolidation of CFS orders to bonded warehouse.
• Ensure zero penalties from Custom Authority, carriers or 3PL due to internal issue.
• Work/Communicate closely with Logistic Manager, Account Management and other key stakeholders, across different HAVI Freight Management business units

Physical work environment:

• DC work environment.
• Overnight standby will be required, time off will be given the next day.
