Objectives of this position: The objective of the position is to support daily facilities & warehouse operations within our offices in Asia

What will you do?

The holder of this position is mainly responsible for the following areas

• Manage and maintain full spectrum of office administrative and facilities service

• Identify improvements to operations process and cost to drive efficiencies

• Align and maintain the administrative standard cross different premises

• Key point of contact with Building Management, the Landlords, and contractors

• Vendor management, involved in price and contract negotiations, review of facility related contracts

• Review and check against quotation and invoices, ensuring accuracy is in place

• Provide daily office facilities support, including but not limited to, equipment maintenance and office supplies control

• Coordination for renovation and relocation project with property agencies, landlord and contractors across various Asian countries

• Undertake ad hoc projects as assigned

What will you need?

• 5-8 years of experience in Facilities Management with regional experience

• Experience in Hong Kong, China, Bangladesh, and Pakistan is desired.

• Proficiency in Microsoft Office Suite

• Good command of spoken and written English & Chinese

• Strong interpersonal and communication skills

• Independent with detailed mind and hands on attitude

• Adaptable, proactive, and well-organised

1. Assist in the planning and coordination of project activities, including scheduling meetings, preparing agendas, PowerPoint presentation and documenting minutes.
2. Coordinate with internal and external stakeholders, to ensure timely delivery of project deliverables and resolve any issues or conflicts that may arise.
3. Monitor project progress and identify potential risks or deviations from the plan, escalating to Service Delivery Manager (SDM), Project Director (PD) any necessary requirement from customers.
4. Plan, track and monitor the tasks assigned to the managers, team leaders and members
5. Clear and open communication with customers on operations and project issues or clarifications.
6. Assist in creating of PowerPoint presentation and Excel documents.
7. Provide administrative support as needed, such as managing project-related correspondence and other ad-hoc duties.

1. Assist project manager with day to day on-site monitoring, project implementation and scheduling.

2. To schedule, co-ordinate, implement and manage projects- in part or wholly- to ensure timely work progress, goods or services delivery on schedule, while taking into account the budgeted qualities and cost.

3.Ensuring that work is carried out according to approved plans, regulations and contract specifications.

4. Accountable for the safety and quality of the project.

5.Conduct project progress meetings, as well as reviewing schedules.

6.Manage the project team’s training.

7.Liaising with consultants and sub-contractors.

8.Prepare method statement, proposal, test plan, acceptance plan and timeline schedule in collaboration with the Project Manager as the case may require.

9. Accountable for preparing weekly/ monthly progress reports.

10.Ability to read AUTOCAD / Schematic preferable.

11.Perform ad hoc duties as assign by superiors.

5.25 days work week, alternate Saturday.

8.30am to 6pm.

Requirements:

• Bachelor Degree in Civil Engineering or Degree in Project Management.
• Positive attitude, including being self-motivated, responsible, and taking ownership of work.
• Strong interpersonal and communication skills.
• Proficient in written and spoken English.
• Possess class 3 driving license.

• Must have minimum 5-10 years of experience in Project Management ,preferable with banking background

• Preferable with Core Banking and/or Internet Banking background

• Good in preparing reporting and presentations

• Proven experience on managing delivery team and senior management stakeholders.

• Strong analytical, communication and interpersonal skills

To be able to manage and execute the company projects in building construction which covers:

• Ability to oversee the entire process and knowledgeable in project management relating to all operational and administration procedures
• Carry out project planning, cost control and project documentation
• Provide the direction in construction planning, coordinate works with sub-contractors, Client and Consultants to ensure overall construction progress based on schedule of works
• Ensure timely and smooth progress of works
• Ensure quality of works is achieved and safety & environmental regulations are complied with
• Ensure project activities complied with the Company’s ISO system
• Lead a team of project staff

JOB REQUIREMENTS

• Dynamic and motivated personality with good communicative and interpersonal skills
• shall be qualified, competent and experienced with tertiary qualification in construction, recognised either by the respective Professional Bodies, professional institutions or Building and Construction Authority.and with experience managing and co-ordinating large-scale projects effectively, and with experience performing as a Project Manager role for industrial and/or large-scale developments.
• Good leadership to lead a team of project staff
• Proficient in using Microsoft Office and familiar with Microsoft Project
• Possess Construction Safety Course for Project Manager Certificate
• Mandrian speaking is esstional knowledge due to coordinate with Chinese investor and owner.

Key Responsibilities:

● Project Management: Translate client requirements into a project timeline. Manage timeline of multiple projects between internal team and clients. Coordinate go-live pre-requisites and be responsible for the launch and support of the project.

● Communication: Effectively communicate with developers, designers, clients, and stakeholders to translate business requirements into technical deliverables that are delivered on time and within budget.

● Documentation: Manage documentation at various stages of projects. E.g. user requirement document, user testing documentation etc.

● Global Exposure: Work on projects with clients worldwide, which may require flexibility with working hours.

● Execution: Combine strategic thinking with meticulous execution of details.

Preferred Qualifications:

● Experience: Project management experience in or outside of the tech industry. But Fresh graduates are welcome.

● Tools: Experience with project management tools preferred, but not mandatory (e.g. Jira, Fredcamp, Notion, Asana, Monday, Excel).

● Technical Knowledge: Familiarity with technologies, UI/UX, programming languages, digital tools, or frameworks and infrastructure.
