Customer Care Officer (Order processing) - Training provided

Call & Service Activity Management

• Answer customer calls and register them in the service management system following the call management process and quality compliance requirements
• Determine the routing of the customer call depending on the customer’s request and contract obligations
• Create service work orders if necessary
• Assign and dispatch Field Services Engineers (FSE’s) to assign service orders based on the advice of the FSE with helpdesk / response center duty or the Team Lead Field Services (or Service Delivery Manager) in the district
• Order spare parts if required and dispatch to FSEs/ customers
• Plan & coordinate the Preventive Maintenance schedule with customers & FSE. Escalate to CS Delivery Manager for non-compliance.
• Inform Customers about the status of their call and make detailed appointments
• Manage the progress of the customer call and escalate if service levels are in danger

Quotation & Order Process Management

• Prepare service opportunities in SFDC
• Prepare services and spare parts quotations to customer following the Quotation Process.
• Get T&M and service quotes approved by District Operations Manager, Team Lead or Account Manager CS
• Send the approved T&M quote to the customer
• Follow up with customers on open quotations
• Process Customer Purchase Orders for services and spare parts.
• Manage DMR / billings and the closing of corresponding work orders

Order / Invoicing & Service Record Retention

• Compile service reports, parts delivery notes and other supporting documents for the purchase order invoicing
• Manage the Service Report retention process, ensure service reports properly filed for the audit purposes

Logistics support

• Follow up delivery status of ordered spare parts. Identify delivery issues and take corrective actions timely by working closely together with suppliers and physical distribution to resolve the issues
• Coordinate inbound/ outbound delivery of parts, and local shipment to customer site
• Coordinate warehouse activities (if applicable)
• Follow up hold procedure in case of hazard situations
• Report Defective on Arrival (DEFOA) following DEFOA process
• Comply with export control regulation

Requirements:

• Diploma in Business Administration or equivalent.
• Experience in Sales Operations or Customer Services preferred
• Proactive and with good communication skills
• Fluent in English, verbal and written in addition to local language
• Knowledge of Microsoft office tools (especially Excel & Word) required. Knowledge of ServiceMax and SAP is a plus

• Ensure the living environment of the children and youths is clean and safe.
• To liaise with relevant stakeholders on residents’ educational matters.
• To lead and conduct team discussions and planning.
• To ensure proper documentation and handover of information for the smooth running of the Home.
• To utilise Home Management System for muster accountability and updating of movement.
• To support the implementation of the model of care in accordance with the needs and profile of the residents.

Requirements

• Diploma in any discipline
• 2-3 years’ experience in social service setting
• Able to plan and coordinate daily routine, bonding and life skills programmes.
• Able to interact positively with children and youths.
• Able to enforce discipline standards in a fair and respectful manner.
• Good team player with a high level of initiative and independence.
• Good interpersonal communication skills.
• Able to do rotating shifts, would require to work night shifts

• Provide supervision, caregiving and guidance for the children and young persons and taking care of their physical and psychological needs.
• To ensure the smooth running of the Home by providing a healing/therapeutic, clean, safe and healthy living environment.
• To provide support to the anchor on Emotional Regulation Drill to help residents to control impulsive behaviours when in distressed.
• Assisting residents with daily personal routines, including dressing, grooming, eating, and using the bathroom.
• Ensuring residents attends school.
• Ensure that residents’ movement are accounted for and update accordingly in the Home Management System.
• Providing companionship to residents and establishing a trusting relationship with them.
• Adopting the Trauma – Informed care by rewarding an encouraging the residents for their good behaviour.
• To provide support to the anchor in instilling discipline to ensure the proper maintenance and cleanliness of the bedroom, dormitory and common areas.
• Plan and coordinate the daily routine or programmes for the residents.
• To escort and supervise youths and children to and from the clinic, the hospital, the school or to attend programmes and activities outside the Home.
• Ensuring that residents are taking their prescribed medication.
• Ensuring residents’ needs are well taken care of.
• Reporting any concerns/ incidents or medical issues.
• Respond to incident and report accordingly.
• Any other duties assigned.

Requirements

• Minimum GCE ‘A’ Level or college diploma in home country
• Able to read, write and converse in English
• A degree in nursing/teaching or other related fields from home country
• Able to work flexible hours
• Has passion and patience for working with children and young persons.
• Can work independently, has a pleasant disposition and able to maintain good working relationships with other departments’ staff
• Good interpersonal skills to provide emotional support for children
• Strong morals and ethics, along with a commitment to children
• Working hours subject to roster, require to work night shifts
