JOB SUMMARY

The Programme for Research in Epidemic Preparedness and REsponse (PREPARE) is a national programme that was set up by the Ministry of Health (MOH) to support and strengthen Singapore’s key essential research capabilities, translational platforms, and expertise to develop tools, methods and products that can be tapped on to detect, respond to, and contain future infectious disease threats.

You will lead and oversee the development and execution of immunogenicity and challenge animal models for viral pathogens within the ABSL3 or ABSL2 setting as part of the PREPARE Vaccine & Therapeutics co-op. This co-op aims to develop pathogen-agnostic technologies and platforms to enable rapid therapeutic or vaccine development to enhance Singapore’s capabilities and access to vaccines during future epidemics. You will be responsible for experimental design, evaluation and documentation of the results and coordination with our host BSL3 laboratory which is located at NTU LKC School of Medicine.

MAIN DUTIES AND RESPONSIBILITIES

SPECIFIC

1. Development and execution of animal challenge experiments for viral pathogens with pandemic potential within the ABSL3 at LKC Experimental Medicine Building (NTU) and immunogenicity experiments for vaccine platforms within the ABSL2 at LKC Clinical Sciences Building (Novena)
2. Assist with preparation and submission of IACUC protocols
3. Work with the PREPARE Laboratory head to manage PREPARE projects and train/supervise attached staff.
4. Lead the immunological/virological characterization of experimental samples within BSL3/BSL2 e.g. T cell reactivity, viral load, neutralization titre etc in support of PREPARE projects.

Roles & Responsibilities:

HR

· Recruitment which includes placing job advertisements, interviews arrangement, references and background

check.

· Preparation of appointment/confirmation letter, insurance claims for Hospital & Surgical and Work Injury

Compensation.

· Promoting the company’s reputation and attractiveness as a good employment opportunity.

· Keeping up to date on current employment legislation and regulations and enforcing them within the company.

· Organize and maintain personnel records, enter new data, and update employee data in internal HR databases.

· Prepare various HR documents, including new hire guides, employment contracts, compensation lists, etc.

· Ensure the smooth execution of employee on-boarding and off-boarding processes.

· Ensure timely and accurate submissions for all government related claims, e.g. Childcare Leave,

Maternity/Paternity Leave, makeup claims.

· Assist in monthly claims

· Any other ad hoc duties as assigned from time to time.

Administrative

· Attend & greet the guest, serve beverages or meals when necessary.

· Keep stock of office supplies and place order when necessary.

· Printing and order business cards when necessary.

· Training and course arrangement

· Handle and oversee all travel arrangements (air travel, accommodation, etc), and operations, manage

relationships with travel agencies, hotels, and travel service providers.

· In charge of General Administrative duties and office maintenance matters.

Requirements:

· Diploma or Degree in Human Resource with 3 – 5 years of relevant experience in HR

· Display good understanding and knowledge of Singapore Human Resource practices, employment laws and

regulations.

· Proficient MS Office Applications (e.g. MS Excel/Word/PowerPoint)

· Excellent written and verbal communication skills

· Must be hands-on (the team is lean), able to fit well in an international environment

· Simple accounting knowledge will be an advantage.

· Able to handle confidential information with integrity.

· Team player, responsible, positive learning attitude, good communication and interpersonal skills.

MAIN DUTIES AND RESPONSIBILITIES:

Administrative Duties:

a. Church Weddings:

• Coordination/Oversee church weddings bookings:

i. Handle enquiries on requests for church wedding bookings and

respond to feedback received.

ii. Liaise with relevant stakeholders to coordinate the wedding rehearsals and bookings.

iii. Provide brief/share the protocol and policies for weddings held in church.

iv. Distribute any wedding programmes/leaflets as required.

v. Ensure all wedding logistics have been arranged with the relevant parties; including sending of reminders.

• Prepare/update Standard Operating Procedure (“SOP”) and checklist for church weddings.

b. Staff Contact List:

• Update the staff contact list information on a timely basis.

c. Rostering of ushers for church services:

• Liaise with chief ushers and maintain roster of ushers for services; including communicating and following up on any changes.

Receptionist Duties:

• Handle incoming telephone calls, messages and direct to relevant parties/ escalate feedback to the relevant department when necessary.
• Provide a professional and customer-focused service to all visitors to the church office and escort them to the meeting room, and/or to see the relevant parties as required.
• Ensure that visitors to the church are served refreshments/beverages and meeting rooms are kept clean, organized and presentable at all times.
• Assist in making room bookings and arrangements when required.
• Handle all incoming and outgoing, local and international mails & courier deliveries (including distribution of all documents/parcels to the addressed recipients)
• Manage the regular servicing schedule for the mail franking machine to ensure that it is well-maintained and in good working condition.

Others:

• Provide back-up for L2 receptionist when team member is away/on leave.
• Keep a record of church attendance for all services.
• Provide back-up for managing and ordering of office stationery.
• Any other ad hoc duties as assigned by the supervisor and/or Pastor-in-Charge.

QUALIFICATIONS:

• Minimum Diploma holder and above or equivalent.

RELEVANT EXPERIENCE AND SKILLSETS:

• At least 2-3 years relevant experience in office administration duties/reception duties. Additional experience with event management will be preferred.
• Able to work independently under minimal supervision.
• Strong customer-service mindset and displays professionalism in responses.
• Strong interpersonal/people and communication (written & verbal) skills; with demonstrated professional phone etiquette skills and ability to manage various stakeholders (internally & externally) across levels.
• Strong organizational and administrative skills with the ability to multitask effectively and maintain attention to detail. Able also to problem-solve and works well under pressure to meet deadlines.
• An innovative/resourceful team player, self-motivated, pro-active, friendly and easy to approach.
• Proficient in Microsoft Office suite of applications.

The Role

• Patrol all areas of the property. Monitor compliance with standard operating procedures. Identify and report safety concerns to maintain a safe work environment.
• Inspect facility, equipment and access points to determine that all are in good order.
• Monitor footage from surveillance cameras, assess and maintain compliance and safety.
• Verify proper functioning of physical security systems.

• Experience in the loss prevention work would be an advantage
