As an Administrative Executive, you will play a key role in supporting the Education and Training department at IFPAS. Student and Member Support

• Respond to inquiries from members and potential students via phone, email, or other communication channels regarding courses, workshops, and other education-related concerns.
  • Provide guidance and assistance to students on funding, accreditation applications, renewals, certificates, and other documentation requirements.

Application and Payment Processing

• Receive and process applications and payments for courses, workshops, certifications, and other programs.

Class Coordination

Course Funding and Subsidies

• Assist with funding submissions, such as SkillsFuture, IBF-STS, IBF-FTS, and other applicable programs.

Non-Subsidy Program Management

• Oversee the administration of non-subsidized programs, including fee charging and invoicing.
• Prepare daily sales reports (DSR) and other financial summaries related to non-subsidized programs.

Exam and Certification Support

• Invigilate resit exams, ensuring compliance with exam protocols.
• Assist in class preparation and manage ad-hoc tasks related to examination processes.

Event Support

• Participate and assist in company events such as conferences, seminars, receptions, and exhibitions.
• Provide administrative support as needed during these events.

Ad Hoc Duties

• Take minutes during meetings as required.

Operations Duties

• Terminal Cost Calculation: Calculate container/Cargo terminal costs based on operational requirements and relevant cost factors. • Institute agency fee recoveries against Ship Management for services rendered pertaining to crew change fees and expenses.

Responsibilities

· Collaborate with internal partners to interpret project briefs and develop relevant concepts into content

· Write original copy for ads and social networks

· Prepare and publish articles base on content calendar

· Edit and fact-check pieces of content generated by colleagues

· Use SEO practices to optimize articles and increase visibility

· Liaise with Designers to enrich text with visual aids, like images and charts

· Shape language and tone used in sales emails, banners and brochures

· Create and oversee reports on content (e.g. weekly or monthly)

· Interview clients, industry experts and internal teams

· Monitor metrics related to our content, like web traffic and conversion rates

· Ensure all content is up-to-date

· Prepare files and concept boards for review and presentation

· To support weekly live show

Requirements

· Proven work experience as a Marketing or similar role

· Portfolio of published articles

· Excellent writing and editing skills, with a keen eye for detail

· An ability to write creative copy both for large pieces of content (e.g. product descriptions) and smaller texts (e.g. social media posts)

· Solid time-management skills

· Keyword search knowledge

· Bachelor's degree or equivalent experience in Advertising, Marketing, Communications, Journalism or relevant field

· Required to work base on shift allocated and weekends (either Fri and Sat or Sun and Mon off)

Key Responsibilities:

4. Maintenance of Warehouse:

• Keeping the warehouse organized, clean, and free from hazards.
• Performing routine maintenance on equipment and reporting any issues.

5. Documentation:

• Maintaining accurate records of inventory transactions, shipping, and receiving logs.
• Assist in processing delivery orders and paper work.
• Using warehouse management systems (WMS) to track inventory and processes.
