ROLE AND RESPONSIBILITIES

OVERALL ROLE

These roles include Community Manager and Community Host – they are the people-centric roles within the team, responsible for connecting people with equipment and services that we provide. They also connect people to people. E.g. while Workplace Managers make sure coffee machines are operational (e.g. contract in place, piping/plumbing installed etc.), Community Managers help employees to make the best use of the coffee services we provide. They work with employees to select the beans, flavors and guide employees (if needed) to use the machines.

MAJOR RESPONSIBILITIES

People

• Ensure the timely introductions to the people about any new / change equipment
• Ensure people are well known with the usage of any machines/ meeting rooms etc
• Ensure people are welcomed and guided properly when any guests or new joiners
• Ensure people are equipped with the required support / guidance
• Provide support to the space / meeting room management
• Connect with people when required
• Event Management
• Event coordination / arrangement

Front Desk

• Manage the front desk
• Welcome the people and provide required support to the guests
• Call management / Register management
• Access Management

Communication

• Lead the development and implementation of all internal communication strategies in collaboration with client’s leadership with a focus on improving culture and employee engagement.
• Liaison with JLL team, vendor and client on soft service delivery
• Share regular event and celebrations content through client’s internal monitors, blog posts, newsletters and other communication channels.
• Create, manage JLL profile within the client account
• Adopt innovative communication strategies
• Champion monthly meetings with stakeholders to enhance relationships

Vendor Management & Procurement

• Ensure vendors are well-managed, delivering services on time and within budget
• Ensure that vendor procurement processes comply with agreed client procurement guidelines as well as JLL best practice
• Manage/capture all PPM activity within a 52 Maintenance Plan (Tracker)
• Ensure Contract Management Database is up to date at all times
• Supervision and co-ordination of trades for maintenance / minor works for local and interstate ensuring tracking of all jobs
• Supervision of all trades on site
• Provision of quotes and recommendations to client
• Invoice administration related to facilities requests

Site Operations Management

• Implement Industry Best Practice operations
• Assist and monitor to ensure all building procedures and performance measures are maintained at all times
• Ensure all Critical Environment (CEM), if any, requirements are met
• Stock Control, Ordering and maintaining utility areas on all floors in a tidy and fully stocked condition
• Seek ways to reduce costs and improve operational standards
• 24/7 emergency call support and site attendance is required

Reporting and Analytics

• Support the to ensure key client reporting interfaces are effective and accurate
• Support the FM/RAD with identifying and implementing reporting and data efficiencies ensuring all aspects of reporting are being produced efficiently to add value across the account team
• Support in the budgeting and forecasting processes ensuring timely information is easily accessible and usable.
• Support master data set-up in the JLL IT systems e.g. new business unit set up

Finance Management

• Ensure that the site’s financial operations are meeting targets and control requirements, including all SAP/SRM data input including creating Shopping carts (SC’s), Check Requests (CR’s) and Goods Receipt Numbers (GRN’s).
• Assist and monitor financial processes to ensure account payable procedures are followed at all times
• Work within JLL policy and limits of authority (LOA) when requesting works to proceed; or prior to approval of any reactive/quoted activities

Ideal Experience

• 2 years of experience in Event management and organizing
• Good customer handling experience
• Experience in managing registers, space, calls, vendors, food program
• Experience in MS Office and basic computer skills

Individual accountability

Commercial Pricing & Modelling

• Develop the commercial strategy and approach for global or regional large-scale single or major multi-x bids.
• Own and be accountable for the pricing strategy from end to end.
• Specialize in multiple product pricing strategies and have a strong understanding of each service lines, platform, and value proposition.
• Collaborate with in-country teams and the various cross functions (Solutions & Proposals, Subject Matter Experts (SMEs)) and provide guidance and challenge to internal teams on our solutioning and pricing / cost inputs.
• Manage multiple external and internal stakeholders to ensure our price offering is suitable to meet both our requirements and executives those of the client.
• Build models to simulate the various profit and loss scenarios as part of Commercial Review Board (CRB) sign-off.
• Lead CRB deal reviews and presentations on the Commercial Core and P&Ls
• Work with business leaders, Pursuit Lead and Commercial Strategy team to understand and mitigate the risks and opportunities around deals.
• Develop simplified storyboard to aid in win-price strategy.
• Participate in client facing deal negotiation and presentation, as applicable.

People Management

• Coach the pricing team and lead them to excellence through feedback and recognition.
• Promote a culture of collaboration and teamwork.
• Maintain active succession planning.

Process & Tools

• Use the internal tools developed by the Global Tools and Analytics team and provide constructive feedback to aid in the development.
• Responsible for establishing and tracking Cost benchmarking and competitor pricing analysis.
• Deploy and adopt new processes and tools as appropriate.

Requirements

• Bachelor’s Degree with 8-10 years of experience in pricing and commercial modelling on complex outsourcing contracts, ideally within the commercial real estate industry, with at least 2-3 years of experience as a people manager
• Strong analytical skills, and must be comfortable dealing with numerical data, and have strong attention to detail.
• High level of system skills and commercial acumen
• Excellent communication, negotiation, and stakeholder management skills. Confident in client facing and board level situations.
• People management skills & leadership qualities
• Able to understand and interpret complex financial and commercial situations and explain to a variety of stakeholders.
• Adaptable and able to present with gravitas and build client relationships (internal and external).

About the Job

At JLL, we are driving sustainability through everything that we do, across all service lines and job positions. Specifically, we are growing our Sustainability practice to drive end-to-end sustainability solutions in real estate, from site selection to decommissioning.

In this role, you will work directly with one of our high-profile clients, acting as an embedded extension of their in-house Sustainability Team. As a member of the JLL Sustainable Operations Team with a deep knowledge of the needs of our client’s program, you will ensure they are capturing JLL’s full suite of sustainability services. You will act as an accelerator and partner-collaborator enabling our client to increase engagement across stakeholders and progress towards goals. You will ensure effective integration across regions/business/functions throughout the real estate lifecycle, influence behavioral changes, including change management ownership, required to achieve scope of work delivery, goals, and targets. This role requires a strategic and programmatic approach to embed sustainability thinking and practices across the real estate lifecycle.

Key responsibilities include, but are not limited to:

• Develop and execute energy management or sustainability strategy, including local site-level plans.
• Engage with JLL facility managers and landlords to become the key point of contact for the provision of wide-ranging advice in relation to all aspects of environmental sustainability.
• Implement energy and sustainability programs to reach objectives.
• Support reporting objectives and provide management information relating to the use of utilities and the impact on the internal and external environment.
• Manage the energy, waste, and water data collection process within the JLL technology platform and produce periodic (e.g., monthly, quarterly, annual) reports that are tailored to meet our client’s specific requirements.
• Work with the global utility operations team to deliver reports demonstrating KPI compliance and ad-hoc reporting needs as they arise.
• Drive operational improvements though the identification and implementation of opportunities to improve energy, carbon, and sustainability performance across regional portfolio and building-level perspective.
• Collaborate with other JLL Sustainable Operations team members to share best practices, identify opportunities, and develop case studies.
• Drive implementation of site-level sustainability plans to facility managers, and provide training to support their site-level activities.
• Develop and enhance systems and processes for delivering best practice sustainability performance and use of utility/sustainability management systems for monitoring and/or reporting purposes.

Requirements – Essential

• University Degree (Science, engineering, math or related fields)
• Technical understanding of the most common HVAC, electrical, mechanical, and building automation systems
• In-depth understanding of energy and water conservation measures
• Experienced with benchmarking and analyzing utility data to drive sustainability measures
• In-depth understanding of Greenhouse Gas Emission scopes and reporting
• Ability to explain difficult or sensitive information and work to build consensus

Requirements – Desirable

• Experience conducting site walkthroughs to find conservation measures (e.g., ASHRAE Level 1 and 2)
• Strong project management skills and an ability to prioritize and meet deadlines in a high pressure, deadline driven environment
• Knowledge of six sigma, change management, and other frameworks to drive incremental improvements and results at scale
• Experience in the preparation of tenders and work orders and the ability to select appropriate equipment and service vendors
• Knowledge of environmental reporting, utility management and energy budgets, an environmental improvement program, and ISO 14001 (or similar) compliance.
• Familiarity with energy procurement process and renewable energy options

Resident Relations/ Facility Officer supports the Manager in the general administration of the estate

Job Responsibility

Responsible for the common facilities in:

• The management, bookings, maintenance of all facilities (swimming pool, spa pool, sauna, gym, squash and tennis courts, playgrounds, putting green, BBQ pits, function room, games room).
• Keying in of data
• Handing over of security pass / carpark label
• Collection of Admin fee / Renovation fee / Security Pass
• Administer the following works:
• Refund of renovation deposit
• Refund of other deposits (Security pass / 2nd carpark label / BBQ pits / Function hall)
• Order and keeping track of stationery inventory including office inventory
• Postage record for mailing
• Filing and updating of all administrative documents and files and ensure that they are kept and filed in a manner which facilitates their easy retrieval;
• Registration of movement of key (in key press)
• Preparation of circular to Subsidiary Proprietors / residents
• Distributing incoming fax / letters and keeping proper records of correspondences
• Keeping record of file opened
• Negotiate / Sourcing in purchase of budget items for office equipment
• Keeps the petty cash, if assigned.

Job Responsibilities:

• Manage and supervise day-to-day running of project site.
• Coordinate, prepare and update architectural and structural 3D BIM.
• Implement and monitor work schedules according to master and detailed work programs.
• Attend site inspection conducted by client’s representatives/consultants.
• Conduct study of construction design to resolve technical issues in advance.
• Evaluate and resolve discrepancies / problems at site.
• Liaise with sub-contractors.
• Conducting inspections/site walks to check on progress and work performance of sub-contractors.
• Ensure all materials used are approved, raise material requisition.
• Coordinate handing over of completed works.
• Assign works to workers as appropriate and supervise to ensure compliance with stipulated procedures, methods of statement and safety requirements.
• Other duties assigned by the PD, PM.

Job Requirements:

• Relevant Degree in Architectural.
• Polytechnic graduate or with relevant trade certificate (Architectural).
• 3 years of relevant working experience.
• Good communication and strong interpersonal skills.
• Strong organization and planning skills.
• BIM experience will be an added advantage.

To be able to manage and execute the company projects in building construction which covers:

• Ability to oversee the entire process and knowledgeable in project management relating to all operational and administration procedures
• Carry out project planning, cost control and project documentation
• Provide the direction in construction planning, coordinate works with sub-contractors, Client and Consultants to ensure overall construction progress based on schedule of works
• Ensure timely and smooth progress of works
• Ensure quality of works is achieved and safety & environmental regulations are complied with
• Ensure project activities complied with the Company’s ISO system
• Lead a team of project staff

JOB REQUIREMENTS

• shall be qualified, competent and experienced with tertiary qualification in construction, recognised either by the respective Professional Bodies, professional institutions or Building and Construction Authority.and with experience managing and co-ordinating large-scale projects effectively, and with experience performing as a Project Manager role for industrial and/or large-scale developments.
