What you will be working on

• Collaborate with landlords, tenants, and legal teams to handle lease management matters, including negotiating rents, drafting leasing agreements, and addressing feedback/complaints.
• Identify and evaluate innovative solutions to enhance building yields, conducting financial feasibility studies on building and asset enhancement projects.
• Formulate, review, and update the Board's space management policy, assessing space requests, and allocating space to internal stakeholders and external tenants.
• Prepare monthly and quarterly reports on building performance, occupancy statistics, imputed rents, and provide advisory services to internal users on internal charging.
• Conduct regular market analysis to stay informed about industry trends, rental rates, and property values.
• Ensure compliance with lease terms, regulations, and legal requirements.
• Assess and negotiate lease renewals, extensions, and terminations.
• Coordinate property inspections and maintenance activities to ensure compliance with lease agreements.
• Provide guidance on space utilisation, allocation, and reconfiguration based on organisational needs.
• Monitor and manage lease-related documentation, ensuring accuracy and completeness.
• Implement technology solutions to enhance lease and space management efficiency.
• Stay updated on industry best practices and implement improvements to optimize lease and space management processes.

What we are looking for

• At least 8 years of work experience in lease management, real estate, or property management
• Demonstrated track record of lease negotiations and management.
• Familiarity with space management policies and practices.
• Good knowledge of lease agreements, property laws, and regulations.
• Strong financial acumen, including experience in conducting feasibility studies and financial analysis.
• Proficient in handling datasets with a meticulous and systematic approach, ensuring accuracy in reported statistics.

You will support the Operations Manager in managing effective operations and maintenance of our retail mall.

Job Description

• Provide facilities management services for shopping malls
• This includes cleaning, pest control, horticulture, security management, ACMV, M&E, building services etc through our appointed term/ sub-contractors.
• Investigate, check and analyse reported breakdowns & faults to determine their cause for the prevention of future occurrences.
• Supervise upgrading projects for the shopping mall that you are assigned to.
• In addition, you will be responsible for car park management.
• Manage and attend to all feedback and service requests in a timely manner.
• Promote good relations with our partners and tenants.
• Lead the technicians and manage vendor services to achieve the required professional standards in day-to-day operations.
• Maintain building operation manual and any records relating to the building.
• Part of Company Emergency Response Team (i.e. Site Incident Controller, First Aider, etc),
• Part of Environmental Health Safety (EHS) team for review & approval of permit to work (PTWs), risk assessment, safety checks/audits of the mall.
• Any other duties are assigned by the Supervisor.

Requirements

• Minimum Higher NITEC/ Diploma in Building Services Engineering / Mechanical / Electrical or equivalent with minimum 2 year of relevant working experience, preferably in managing commercial properties or alternatively, possess at least 3 years of facilities management experience.
• Able to work within tight timelines, resourceful and systematic in resolving problems.
• Preferably possess certification for Fire Safety Manager.
• Pro-active, independent, able to work with minimal supervision and perform under pressure.
• Good communication and interpersonal skills.
• Service orientated mindset.

Roles & Responsibilities:

• Responsible for recruitment including Phone screening, coordinate with candidates, schedule for interviews.
• Maintain and update employees' personal files.
• Handle MOM related matter such as work passes application, renewal, cancellation & MOM survey matters.
• Coordinate in the training program and renew course/ license/ certification due for expiry.
• Prepare HR documents including letter of offer, confirmation letter, warning letter, memorandum and etc.
• Liaise with insurance brokers on company insurance renewal and compare insurance coverage and price.
• Renew company license.
• Handle on-boarding and off-boarding
• Provide support on office administrative matters.
• Perform any ad-hoc duties as assigned by the management.

Job Requirements:

• Minimum GCE O Level or higher education.
• Minimum 3-year experience in construstion industry will be anvantageous.
• Willing to work in Tagore Lane area.
• 5 days working week.
