The Accounts Officer is responsible for processing credit application, invoicing, debt collection, account receivable cashiering, reconciliation and month end requirement. He/ She must ensure the accuracy of all charges and credits to the various debtor accounts and ensure they are posted on a timely basis. Accounts Receivable Duties

City Ledger:

· To assess the customer's credit worthiness by research through various available sources and to recommend credit approval or disapproval to the Management.

· Process all Credit Applications, ensuring that clients are notified promptly and professionally.

· In the AR module, set up AR accounts for newly approved credits and ensure creditors’ details are correct at all times.

· Accountable for the accurate processing of all AR accounts.

· Ensure that all Debtors’ invoices are accurate; all services invoiced supported by a valid guarantee of payment and the room rates correct.

· Check the room rates as reflected in the invoices are in line with the contracted rates accorded to the companies, airlines & agents. Any ad-hoc rates, the head of department has to be aware of the rates given by the sales manager.

· Follow up with Sales & Reservations Department if there is a variance in the room rates charged.

· Responsible for the timely transfer of the invoices to the city ledger and prompt mailing (or emailing) of the invoices to the debtors.

· Assist in dealing promptly with client queries on city ledger account. Answer debtors’ inquiries promptly and effectively.

· Complete a daily summary of all adjustments related to the City Ledger; ensure that it is distributed as necessary and reconciled with a PMS generated report at end of shift.

· Maintain proper filing procedures.

Credit Cards:

· Ensure that all credit card transaction are verified for completeness and the accounts formally reconciled on a daily basis.

· Calculate and accurately post credit card commissions.

· Promptly investigate all credit card disputes, liaising with the Front Office and the banks.

· Ensure all guest refund are processed in a timely manner as per the hotel policy; with all supporting paperwork and required authorizations.

· To preform monthly credit card payment reconciliation.

· Ensure the operation procedures are in accordance with PCI-DSS compliances.

Month End:

· Accurately process all Monthly Statements and mailed promptly.

· Ensure that all Month End reports are printed and forwarded to the Director of Finance to prepare the balance sheet reconciliation.

Credit Control Duties

Credit applications:

· Process credit applications within 10 working days, ensuring that clients are notified promptly and professionally.

· The credit worthiness of all applicants is formally checked and approval received from Director of Finance.

· Review the credit worthiness of all existing non-Accor approved clients on a yearly basis.

City Ledger:

· Ensure all invoices / statement are issued on a timely basis.

· Monitor the prompt follow-up of all overdue accounts and minimize the recovery delay.

· Implement effective inquiry response procedure for guests and management.

· Ensure all travel agent commissions are timely processed and paid.

· Report on monthly accounts receivable ageing analysis and detailed accounts’ ledgers.

· Conduct credit meetings at least once a month.

· Attend Credit Managers Group meetings to remain well informed credit risks.

· Appropriately manage all delinquent accounts, liaising with debt collectors where needed.

· Review and recommend accounts to be written off, providing appropriate documentation.

Roles & Responsibilities

• To conduct Green Mark consultancy services
• To coordinating Suppliers and Contractors in projects
• To manage and raise purchase requisition, purchase order, accruals, process and follow–up claims and invoices by service providers; Handling the billing and invoicing of projects
• To coordinate with HQ admin and finance departments for monthly invoicing and payment;
• To keep proper records for all monies collected and expenditure in relation to the management and maintenance of properties;
• To perform operation administrative duties and preparing operation reports to client; Handling Clients on the after-service work
• Attend to all complaints/feedback, incidents and crisis situations and Submit incident report
• Manage A&A and project works
• Co-ordinate, Attend meetings and/or inspections and follow-up with Authorities/Departments and service providers
• Supervise and ensure that all types of Routine and ad hoc repair works undertaken by the term contractors are carried out according to the Contract
• Recommend and seek approval from client for all repair/replacement works
• To maintain and upkeep documents, records and filing in proper document inventory;
• Prepare service contract, invitation of quotes and cost comparison.
• Ensure compliance of all statutory requirements.
• To support in all necessary licenses and certificates renewal from the relevant authorities; and
• Any other ad-hoc duties as assigned.

Requirements

• Bachelor degree in a related technical subject (e.g. Engineering, Sustainability, Energy, project facilities management, projects, Building, Facilities Management, Building Services)
• Familiar with Green Mark Certification is preferred
• 1 - 3 years of experience in delivering sustainability consulting projects, green building projects, or in a related role is preferred
• ACMV knowledge is preferred
• Excellent communication abilities, including report writing and visual and verbal presentation approaches, as well as the ability to read and comprehend reports and technical drawings.
• Interest in energy & sustainability.
• Interact with multiple groups, such as relevant government bodies (BCA, NEA, for example) or civic organizations and corporate personnel.
• Explore and introduce new market-available technology and products.
• Analytical in interpreting trends from data generated from an energy management system and highlighting anomalies in the data
• Flexible and efficient in problem-solving
• Excellent planning and organizing skills

Job Description

The Guest Services Agent is the point of reference for guests who need assistance or information. Understanding guests’ needs and requests and provides them with personalised solutions for hotel offerings and Singapore-specific activities and attractions. He/she will also be responsible for any luggage and parcel handling from a guests or an external soure.

MANAGES ALL GUEST SERVICES TASKS (CONCIERGE / POTERAGE / DOORMAN)

Job Description:

• Lead the Technician and service staffs ensuring that they carry out their duties according to the SOPs
• Co-ordinate and supervise maintenance activities to ensure smooth running of building facilities, Building Automation System (BAS) / Building Management System (BMS), M&E services and other backend facilities

Job Purpose

The Chef De Partie ensures smooth running services and a high standard of production by managing his/her section, works autonomously to produce dishes in compliance with cooking instructions. He/she supervises cooks and leading Cooks, ensuring all culinary standards as set by the hotel and regulated by local authorities are observed by the culinary team in their sections. He/she is responsible for the organization, coordination, and service for one area of the kitchen

Operations

• Produces and presents the dishes for the section in line with the cooking instructions and processes defined

by the hotel and brand

• Ensure personal cleanliness and proper deportment of all team members

• Ensures that dishes are well presented, of a high standard and at the right temperature

• Prepare and ensures availability of mis en place as required

• Organises his/her work and timing to suit fluctuations in guest numbers, special events and particular guests

• Work closely with Executive Steward in maintaining the cleanliness of the kitchen areas

• Ensure all equipment is maintained, serviced and cleaned. Report any problems to the Chef De Cuisine

Knowledge and Experience

• Minimum 2 years of relevant experience in a similar capacity

• Basic food hygiene certification required

• Basic reading, writing and oral proficiency in English language

Responsibilities:

• Responsible for the day-to-day operations and maintenance of the property, as well as creating a hospitable experience for our guests.
• Establish a professional communication and provide tip-top hospitality services to our guests, including managing check-ins / check-outs, enquiries and maintenance requests.
• Conduct room viewings for guests who request for a room change, and follow-up with the necessary proper documentations in our property management system.
• Roll out housekeeping rosters and coordinate in-room / external maintenance work with contractors.
• Support the daily maintenance of the property, including assisting with basic fixes, conducting regular property inspections, and supervising scheduled maintenance works such as air-con servicing, electronic door lock reprogramming and landscaping works.
• Manage incident reporting actively and take remedial actions to resolve the problems. Maintain good records of all incidents and maintenance tickets raised.
• Ensure compliance of Safety & Building regulations and all other statutory requirements, including Fire Safety & CERT regulations.
• Provide support for community events held within the property.

Requirements:

• Minimum Diploma in Hospitality or relevant field.
• At least 2 year(s) of experience in student hostel / serviced office operations management.
• Experience in property / facilities management or front desk would be advantageous.
• Good team player with interpersonal, analytical, presentation skills.
• Service-orientated with pleasant disposition.
• Experience in using MS Office.
• Candidates who is able to start work immediately or on short notice would be preferred.
