Responsibilities:

• Plan and coordinate administrative procedures and systems and devise ways to streamline processes
• Recruit and train personnel and allocate responsibilities and office space
• Assess staff performance and provide coaching and guidance to ensure maximum efficiency
• Ensure the smooth and adequate flow of information within the company to facilitate other business operations
• Manage schedules and deadlines
• Monitor inventory of office supplies and the purchasing of new material with attention to budgetary constraints
• Manage organization's certifications (Apply/Renew)
• In-charge of basic IT support to the staff
• Work closely with HR Department

Requirements:

• Proven experience as administration manager
• In-depth understanding of office management procedures and departmental and legal policies
• Familiarity with financial and facilities management principles
• Proficient in MS Office

Responsibilities:

• Lead and execute the project from initiation to completion, ensuring all work is carried out according to project specifications, within the allocated budget, and on schedule.
• Collaborate with the Director to establish clear project objectives and approve all project-related goals and deliverables.
• Coordinate effectively with various departments to address issues or challenges that may arise during the project lifecycle.
• Maintain strong communication with the Client, Engineer, and their representatives, ensuring any concerns affecting the project are addressed promptly and efficiently.
• Identify the training needs of the project team and arrange for appropriate skill development, including hands-on training at the construction site.
• Review and evaluate material and subcontractor quotations, ensuring they align with project requirements and budget constraints.
• Approve material requisitions and ensure they fall within the established authority limits for the project.
• Assess and review variations and claims submissions, providing recommendations for resolution.
• Ensure all necessary quality documentation is in place, including the Project Management Plan, Project Quality Plan, method statements, work procedures, and Inspection & Test Plans.
• Approve the Project Management Plan, Project Quality Manual, and other project-specific procedures to ensure compliance with internal and external standards.
• Lead and chair regular Project Quality System Review meetings to maintain high-quality standards throughout the project lifecycle.
• Appoint dedicated staff to manage the control of documents and records, inspection and testing equipment, and the design and construction of temporary works.
• Ensure all project activities are carried out in adherence to the highest Health, Safety, and Environmental (HSE) and quality standards.
• Negotiate with subcontractors on pricing, special conditions, and addenda, while ensuring thorough vetting of subcontract agreements.
• Work with the Director to agree on final accounts with subcontractors and clients, ensuring all financial settlements are in line with the contract.
• Ensure the procurement and submission of necessary bonds, warranties, and guarantees as required by the contract.
• Review and verify subcontractors’ interim payment certificates, ensuring they accurately reflect completed work and align with project progress.

Requirements:

• Bachelor’s degree in Civil Engineering or a related field.
• Proven experience in managing residential construction projects, with a solid understanding of construction processes and project management.
• Relevant certifications as required by BCA (Building and Construction Authority) and other industry standards.
• Proficiency in industry-standard software tools for project management and construction processes (e.g., MS Project, AutoCAD, Procore).

✓ Construction Project/Term maintenance work planning, co-ordination and execution of

matters and issues arising from the project/Maintenance Term Contract

✓ To attend, provide information & provide proposals (if any) and updates when liaising

with clients, consultants & relevant authorities for the implementation of the project

✓ Liaise with sub-constructors, vendors, clients to ensure smooth progression and timely

completion of quality works in accordance to schedule within required

✓ To ensure all Quality Documentation is implemented and maintain

✓ To engage in project/term contract work and ensure successful completion as well as

hand over of projects to the clients
