Essential Duties and Responsibilities

The APAC MAC Lead works as part of a facilities team, their main function will be to coordinate the logistics of people/desks movements within the organisation, with detailed planning and flawless execution whilst also supporting the larger facilities team in its day to day operation, responsible for the following typical activities:

• Work with the Client to manage and plan general desks moves (from individual to medium and large office moves).
• Manage the MAC team across APAC to ensure a consistent delivery of services.
• Manage local key stakeholders/EA’s and suppliers.
• Prepare accurate MAC statistics/reports.
• Supervise or where necessary perform moves to minimize impact to business.
• Communicate clearly and professionally with business stakeholders, handle general internal queries, clarify concerns and identify solutions.
• Maintain discretion and confidentiality with regards to all discussed MAC plans and dealings.
• Generate and manage headcount forecasts with extreme accuracy.
• Act collaboratively to solve problems and resolve spontaneous and unique situations with professionalism and service orientation.
• Liaison with business and POC for shift updates across APAC where applicable.
• Demonstrate responsiveness and creativity in finding solutions for service delivery
• Ensure appropriate follow up with customers and updates in SpaceView
  Seek to continuously improve processes, systems and overall client satisfaction
• Handle & resolve MAC related Tasks promptly and accurately, provide timely responses and manage overall traffic.
• Regularly work with external contractors, e.g. cleaning, IT, & engineers
• Resolve problems associated with MAC requests including: permits, cleaning, parking, conference rooms, interior furnishings, fixtures and equipment.
• Liaise with the client during the MAC to proactively action any last-minute requests
• Manage assets – addition/removal/ordering of furniture and special equipment.
• Assign desks for new hires in close liaison with relevant internal Clients.
• Ensure accurate and detailed hand over is planned & passed on (for tasks for which being responsible), if absent from the business.
• Work with the internal Task system to support facilities team in closing out tasks to SLA/KPI’s.
• Work as part overall FM team on facilities related tasks
• Ad hoc duties from time to time to support the rest of the facilities team

(A) Education, Qualifications & Special Training:

• Degree or Diploma in Quantity Surveying.
• Job holder without the above qualification but with relevant experience would be considered.

(B) Knowledge & Skills:

(C) Experience:

• Minimum 4 years of working experience in related fields or in construction industry.
• Job holder without relevant experience would be considered, training will be provided.

• Crane operators are responsible for lifting and moving materials around a construction site as safely and efficiently
• Performed routine maintenance and routine cleaning on all machines as well as routine quality checks

Roles & Responsibilities

- Taking off quantities, sourcing sub-contractors & suppliers, pricing and preparation of tender submission for all kinds of project especially R&R, A&A and Paints projects

- Check tender documents for completeness and update tender amendment and corrigendum. Manage Pre-Tender to post-contract QS services and responsible for contract documentation

- Responsible to prepare necessary documentation from shortlisting to award contracts, process include evaluation, comparison, and recommendation

- Prepare budget and cost control monitoring to ensure the project cost is within the allocated budget

-Prepare and analyze cost comparison

- Responsible for measuring quantities and taking off

- Prepare Variation Orders, claims, final accounts, settlement, and payments

- Preparation of Monthly Progress

- To negotiate on pricing

- Prepare project budget and cashflow.

- Liaise with consultants and clients for monthly progress claim and monitor against cash flow projection

- Check for discrepancy and raise tender query.

- Perform measurements and prepare Bills of Quantities

- Prepare and compilation for tender submission including calling of quotations, pricing, compilation of PQM, post tender questionnaires

- Calling of subcontract quotations, preparation of cost comparison, reports, negotiation, recommendation to award and preparation of subcontract agreement

- Evaluation of subcontractor’s claim and certification of payment.

- Track and submit variation orders, liaise with consultants for assessment

- Liaise and negotiate with consultants and client for finalization of accounts

-Ensure timely and justifiable certification of payments from clients.

- Keep track of progress claim status and Accounts Receivable.

- Any ad-hoc duties assigned by the Contract Manager & management.
