ADMINSTRATIVE FUNCTIONS

The Accounts Officer is responsible for processing credit application, invoicing, debt collection, account receivable cashiering, reconciliation and month end requirement. He/ She must ensure the accuracy of all charges and credits to the various debtor accounts and ensure they are posted on a timely basis. The Accounts Officer has to manage the overall credit and receivable collection functions of the hotel in the most efficient manner in order to minimize the no-payment of accounts and potential bad debts. Accounts Receivable Duties

City Ledger:

· To assess the customer's credit worthiness by research through various available sources and to recommend credit approval or disapproval to the Management.

· Process all Credit Applications, ensuring that clients are notified promptly and professionally.

· In the AR module, set up AR accounts for newly approved credits and ensure creditors’ details are correct at all times.

· Accountable for the accurate processing of all AR accounts.

• Supervise all contracted works.
• Implement preventive and corrective maintenance plans.
• Plan, organize and execute periodic checks on services as well as contracts.
• Execute directions given by CM with regard to the operations of the property.
• Any other duties assigned by the CM.

Job Requirements:

• Candidate must possess at least a diploma in Estate Management, Building Services Engineering or equivalent.
• 2-3 years with Diploma holders preferred. Those without diploma but with 3-4 years Property management experience could apply for the job.
• Minimum 4-5 years of MCST experience for Diploma holders and have experience in handling more than 1000 units.
• Good knowledge of BMSM Act or has relevant BMSM Act course certification.

The Role & Responsibilities

Project Planning and Coordination

• Project Development: Oversee the entire project lifecycle, ensuring adherence to scope, timelines, and budgets. Assist the team in generating the Bill of Quantities, creating quotations, scheduling, and the selection and management of subcontractors and suppliers under the guidance of the Management team. Ability to generate quotations is a major plus.
• Stakeholder Coordination: Serve as the central point of coordination among design teams, client accounts team, contractors, and suppliers, ensuring clear communication and project alignment.
• Meeting Engagement: Attend and contribute to all project meetings, offering insights to improve project delivery and quality.
• Documentation Management: Manage all project documentation, including quotations, contracts, invoices and plans, to maintain accuracy and ensure accessibility.

Execution and Quality Assurance

• Timeline and Quality Management: Monitor project progress to meet milestones and adjust as needed, ensuring work meets the highest quality standards and design specifications.
• Problem Solving and Adaptability: Address on-site issues swiftly and adjust project plans in response to unforeseen challenges, maintaining project integrity and stakeholder communication. Clarity and transparency is key.
• QA/QC & Safety Compliance: Enforce struct quality and safety standards across all operations, ensuring compliance with internal procedures and senior management directives.

Technology and Reporting

• Software Skills: Proficient in project management software, especially Microsoft Projects, to improve planning, tracking, and execution.

• Feedback Implementation: Incorporate client and team feedback to continuously improve project management processes and outcomes.

Qualifications:

• Degree in Project Management, Construction Management, or related field.
• At least 2 years experience in project management or coordination. Experience with landed residential and A&A works preferred.
• Able to plan and manage several projects concurrently.
• Proficiency in project management software, in particular: MS Projects, Asana, etc.
• Proficiency in Google Suite of products (Sheets, Calendar, etc.)
• Proficiency in understanding construction technical drawings.
• Exceptional communication and negotiation skills, adept at interacting with stakeholders at all levels and clients when the need arises.
• Strategic thinking and problem-solving abilities, with meticulous attention to detail and a commitment to excellence.

Job Description and Responsibilities

• Financial Reporting and Analysis: Prepare monthly, quarterly, and annual financial reports. Analyze financial data to identify trends and provide insights for decision-making. Ensure compliance with financial regulations and standards.
• Budgeting and Forecasting: Assist in the preparation and planning of budgets. Monitor and report on budget variances. Develop financial forecasts to support strategic planning.
• Accounting Operations: Oversee daily financial transactions, including accounts payable and receivable. Reconcile bank statements and manage cash flow. Maintain accurate financial records and ensure they are up-to-date.
• Audit and Compliance: Participate in internal and external financial audits. Ensure adherence to financial policies and procedures. Implement and review financial controls to mitigate risks.

• Develop and implement maintenance schedules for machinery and equipment.
  Ensure all maintenance and repair works adhere to specifications, are completed on schedule, within budget, and accurately documented.
  Liaise internally between operations teams to address machinery breakdowns and operational concerns.Coordinate data collection on auxiliary materials from operations teams and report on a weekly basis.
  Manage receipt, maintenance, and monitoring of machinery parts inventory.

• Acquire equipment and material and monitor stocks to timely handle inadequacies
• To manage tender works including provide the directions on planning, construction technique, quality of tender submission documents, risk and issue management, tender price negotiation with suppliers and subcons for finalization.
• Assess tender documents, scope of works, checking the feasibility for qualification, financial criteria.
• Prepare presentations, risk matrix, information to top management to get approval for bidding.
• Responsible for the technical & commercial bids as per the tender requirements.

Responsibilities:

• Assist Project Manager in monitoring and managing the day-to-day operations of project.
• Liaise with consultants and/or sub-contractors on the project matters.
• Attend regular meetings with owner/client/contractors/sub-cons on the project related matters.
• Check drawings and raise technical queries to resolve the discrepancies in between drawings and as well as those arisen during the project execution.

Requirements:

• Candidate must possess at least Bachelor's Degree in Engineering - Civil/Construction/Structural or equivalent.
