JOB DESCRIPTION (Finance and Admin Officer)

Duties & Responsibilities
Financial Management:
- Handle accounts payable and receivable, ensuring accurate and timely processing.
- Maintain and reconcile financial records, including invoices, receipts, and expense reports.
- Assist in preparing budgets, forecasts, and financial statements.
- Monitor cash flow and prepare periodic financial reports for management review.
- Bookkeeping and coordinating with external consultants.
Administrative Support (including Executive Assistant duties):
- Manage office supplies, equipment, and vendor contracts to ensure a well-functioning office environment.
- Organize, maintain, and file records, ensuring compliance with company policies and regulations.
- Coordinate meetings, events, and schedules to support the management team.
- Prepare and edit correspondence, presentations, reports, and other documents as needed.
- Act as the point of contact between executives and internal/external stakeholders.
- Handle confidential information with discretion, ensuring all communication is professional and accurate.
- Screen and prioritize emails, calls, and messages, responding on behalf of the executive when appropriate.
- Assist in planning and executing company events, meetings, and team activities.
- Maintain efficient office systems, including filing, record-keeping, and expense management.
- Support executives in managing ongoing projects by tracking progress, deadlines, and deliverables.
- Prepare agendas and meeting materials, ensuring executives are equipped with necessary information.
- Take meeting minutes and follow up on action items.
Compliance and Reporting:
- Ensure compliance with local financial regulations, including tax filings and statutory reporting.
- Liaise with external auditors, tax authorities, and financial institutions as needed.
- Provide regular updates on financial performance, operational budgets, and administrative functions to leadership.
Requirements & Qualifications
Qualifications:
- Bachelor’s degree in Accounting, Finance, Business Administration, or a related field is preferred.
- Proficiency in financial software (e.g., QuickBooks, Xero), Microsoft Office Suite (Excel, Word, PowerPoint), and other productivity tools.

- Excellent organizational and time-management abilities, with the capacity to prioritize and handle multiple tasks effectively.
- Effective written and verbal communication skills, with the ability to work well with diverse teams and stakeholders.

- High level of discretion and professionalism in handling sensitive information.
Preferred Experience:
- Previous experience in finance or administrative roles, ideally in an SME environment.
- Familiarity with local tax regulations and compliance requirements.
- Demonstrated ability to maintain confidentiality and integrity in handling financial data.
- Familiarity with office management systems and procedures.
