• Develop and maintain updated Standard Operating Procedures (SOPs), manuals, and relevant documentation in compliance with applicable HSE regulations, standards, and best industry practices, including ISO 14001 and ISO 45001
• Collaborate closely with the customer's and the company's operations teams to plan and implement mutually agreed HSE plans, including best practices
• Work with key stakeholders on the Safety Observation Sheet, including its review and closure
• Manage contractors effectively
• Perform routine tasks such as attending meetings and providing updates
• Handle ad hoc tasks assigned by management related to HSE

Requirements:

• Strong knowledge of Singapore Workplace Safety & Health Act and its regulation
• Knowledge of ISO 45001 & ISO 14001, Management System Knowledge of HSE Auditing skill
• Strong negotiation skills with effective interpersonal and people management skills
• Qualified HSE personnel with experience in 3PL in semi-con industry will be preferred

Job Summary:

The Office Assistant in the construction sector provides administrative support to ensure smooth day-to-day operations in the office. This role involves a variety of clerical tasks, including document management, scheduling, communication, and coordination between different departments, contractors, clients, and suppliers. The Office Assistant plays a vital role in maintaining organized records, assisting with project documentation, and helping to streamline the administrative processes in the construction business.

Key Responsibilities:

. Working hours are from 8:00 am to 9:30 pm.

• Document Management: Organize and maintain physical and digital files for construction projects, contracts, invoices, permits, and other related documents.
• Data Entry & Record Keeping: Input project data into systems, track project milestones, and maintain accurate records for billing, project status, and time logs.
• Scheduling & Coordination: Assist with scheduling meetings, site visits, and appointments for project managers, engineers, and contractors. Coordinate with vendors and subcontractors.
• Communication: Answer phone calls, emails, and other correspondence related to construction projects. Respond to inquiries and redirect as necessary.
• Office Supplies & Inventory: Order office supplies and ensure that the office and construction site materials are well-stocked.
• Assisting with Reporting: Help prepare reports related to project progress, budgets, and timelines. May assist with financial documentation such as invoicing and receipts.
• Health & Safety Compliance: Ensure all necessary documentation for compliance with health and safety regulations is properly filed and up to date.
• Support to Project Team: Provide general administrative support to the project management team, including assisting with bid submissions, contract preparation, and maintaining communication with all stakeholders.
• Clerical Support: Perform general office duties such as photocopying, scanning, faxing, and filing. Handle mail and packages.
• Customer & Vendor Relations: Act as a liaison between clients, vendors, subcontractors, and internal teams to ensure smooth communication and operations.
• Data Management: Keep track of incoming and outgoing project materials and ensure proper documentation for all supplies ordered and delivered.

Qualifications:

• Education: High School Diploma or equivalent required; Associate's or Bachelor's degree in Business Administration, Construction Management, or related field preferred.
• Experience: Prior experience in administrative or office support roles, preferably within the construction or engineering industry.
• Skills:
  • Strong organizational skills with attention to detail.
  • Proficiency in office software (Microsoft Office Suite, Excel, Word).
  • Familiarity with construction terminology, project management software (Procore, Buildertrend, or similar), or willingness to learn.
  • Excellent communication skills, both verbal and written.
  • Ability to multitask and prioritize tasks effectively.
  • Ability to work independently and as part of a team.
